About the position

The Bilingual Executive Assistant for Japanese Corporate Banking at Mitsubishi UFJ Financial Group (MUFG) is a pivotal role that provides high-level administrative support to the Head of Japanese Corporate Banking for the Americas, who is also a member of the Executive Committee for the Americas (ECA). This position is integral to the senior leadership team of JCB, which includes Heads of each region, Managing Directors (MDs), and other managers within JCB Americas. The role encompasses a variety of responsibilities, including managing accounts payable, conducting research, preparing reports, and coordinating projects and events in collaboration with the business management department in JCB Americas and the Head Office, all under the supervision of the manager. The Executive Assistant will be responsible for a wide range of administrative support functions, which account for approximately 70% of the role. This includes writing business correspondence in both English and Japanese, organizing files, arranging travel and accommodations, managing schedules, and coordinating meetings. The assistant will also handle various administrative tasks such as onboarding new hires, managing seminar and reception logistics, and maintaining organizational information like charts and emergency contact lists. In addition to administrative support, the role involves accounts payable functions, which make up about 20% of the responsibilities. This includes ensuring invoices are processed correctly, preparing monthly expense reports, and coordinating with vendors. The remaining 10% of the role involves performing other duties as assigned by the Head of JCB for the Americas and other managers. The ideal candidate will possess strong organizational skills, excellent communication abilities in both Japanese and English, and a proactive approach to managing tasks under time pressure.

Responsibilities

  • Provide high-level administrative support to the Head of JCB for the Americas and senior leaders.
  • Write business letters and correspondence in English and Japanese.
  • Organize files and offices, arrange travel and hotel reservations.
  • Complete accounting forms for reimbursements and handle scheduling of appointments.
  • Coordinate meetings and interviews, maintain memberships, and pay dues in various organizations.
  • Set up business lunches, dinners, and corporate events, and order office supplies and gifts.
  • Process 'Gift and Entertainment' procedures and screen incoming calls.
  • Prepare or edit various reports and articles as needed.
  • Administer onboarding tasks for new hires, including setting up phones and security cards.
  • Manage seminars and receptions sponsored by the division.
  • Prepare and maintain organization-related information, including charts and emergency call trees.
  • Perform clerical tasks related to accounts payable, ensuring invoices are approved and processed correctly.
  • Prepare monthly expense reports and assist with job descriptions and annual reviews.
  • Coordinate vendor updates and ensure invoices are cross-referenced with line items.
  • Handle budget items with the Director throughout the year.
  • Perform other duties as assigned by the Head of JCB for the Americas.

Requirements

  • 3 to 5 years of executive assistant experience in a global large corporation is required.
  • Bachelor's degree preferred.
  • Excellent written and verbal communication skills in both Japanese and English.
  • Strong organizational skills and ability to multi-task under time pressure.
  • Advanced Excel skills and intermediate PowerPoint skills are required.
  • Excellent computer, analytical, and data management skills are required.
  • Understanding or willingness to learn SAP Concur and Ariba systems is a plus.
  • Strong customer and results orientation, with a positive attitude and collaborative spirit.
