About the position

The Bilingual Lead Medical Assistant/Office Manager at Mosaic Mental Health is responsible for overseeing the efficient operation of a psychiatric practice. This role combines administrative, operational, financial, and interpersonal tasks, ensuring excellent patient care and compliance with legal standards. The ideal candidate will have strong leadership skills, be highly organized, and possess a passion for mental health care.

Responsibilities

  • Oversee appointment scheduling and calendar management for clinicians.
  • Ensure accurate maintenance and secure storage of patient records in compliance with HIPAA.
  • Act as the main point of contact for the practice, managing communications with patients and clinicians.
  • Ensure compliance with legal and medical standards, including HIPAA and medical billing regulations.
  • Manage office supplies and equipment, ensuring everything is in working condition.
  • Coordinate patient intake and registration processes, ensuring proper collection of medical histories and insurance information.
  • Assist patients with billing and insurance queries, resolving discrepancies as needed.
  • Manage the patient billing process, including invoicing and tracking payments.
  • Oversee payroll for staff and manage financial records, including daily revenue reports and expense tracking.
  • Manage staff scheduling, hiring, onboarding, and performance evaluations.
  • Continuously evaluate office workflows for process improvement and efficiency.
  • Ensure compliance with HIPAA regulations and develop office policies and procedures.
  • Assist in the development of marketing strategies to promote the practice and improve patient retention.

Requirements

  • Certification as a Medical Assistant or higher level healthcare professional.
  • Proven experience in office management, preferably in a healthcare or psychiatric setting.
  • Strong organizational and leadership skills.
  • Familiarity with medical billing, insurance, and HIPAA regulations.
  • Excellent communication and interpersonal skills.
  • Proficiency in electronic medical records (EMR) systems and office management software.
  • Ability to handle sensitive situations with empathy and professionalism.

Nice-to-haves

  • Experience in psychiatric care management.
  • Knowledge of mental health terminology and patient needs.
  • Basic understanding of bookkeeping and financial processes in healthcare.
