About the position

The Maintenance Vendor Coordinator is responsible for managing administrative tasks to ensure the smooth operation of the maintenance and recycling office. This role requires a blend of clerical skills, human resources knowledge, and effective communication abilities, with a strong emphasis on bilingual proficiency in English and Spanish.

Responsibilities

  • Oversee daily office operations and ensure efficiency in administrative processes.
  • Manage calendars and coordinate projects from start to finish.
  • Handle phone communications with professionalism, providing excellent phone etiquette to clients and vendors.
  • Assist with payroll processing set up for new hires on the maintenance team and maintain accurate employee records.
  • Support human resources functions, including onboarding new employees and maintaining personnel files.
  • Ensure deadlines are met and adapt to changing priorities.

Requirements

  • Proven experience as an office administrator or in a similar clerical role.
  • Proficient in calendar management and scheduling software.
  • Familiarity with payroll systems and human resources practices is helpful.
  • Strong organizational skills with attention to detail in managing multiple tasks simultaneously.
  • Ability to work independently.
