About the position

Select Genetics is the leading supplier of poults to growers and companies across the world, with operations in eight US States. The Office Admin position is crucial in providing administrative support for the Breeder Division Manager and the HR partner based in North Carolina. This role requires a bilingual candidate fluent in English and either Spanish or Haitian Creole. The Office Admin is responsible for carrying out all directives in accordance with the company's policies and applicable laws, ensuring that all company information is handled with complete confidentiality. The work environment is characterized by frequent sitting, moderate standing, and walking, along with the use of general office equipment. The Office Admin will be subject to tight deadlines and must maintain a high level of attention to detail. The noise level in the work environment is minimal, and the Field Office building is temperature-controlled at all times. The Office Admin will greet visitors at the front window, assist or direct them to the appropriate personnel, and manage incoming calls, providing assistance or transferring calls as necessary. In addition to these duties, the Office Admin will maintain and distribute job applications when the HR representative is unavailable, complete general administrative clerical work accurately and in a timely manner, prepare FedEx Express shipments weekly, and handle the preparation of shipping and export documents. The role also involves separating check stubs weekly by farms/employee list for distribution, ordering supplies as directed by the Manager, and maintaining regular working hours from 8:00 am to 5:00 pm unless otherwise requested by the on-site Manager. The Office Admin must follow all company rules and regulations regarding bio-security, animal welfare, and safety, ensuring that tasks are completed correctly and on time. Responsibilities

  • Provide administrative support for the Breeder Division Manager and HR partner.
  • Greet visitors at the front window and assist or direct them to the appropriate personnel.
  • Answer incoming calls and assist or transfer to the appropriate person(s).
  • Maintain and distribute job applications when HR representative is unavailable.
  • Complete general administrative clerical work accurately and in a timely manner.
  • Prepare FedEx Express shipments weekly for on-site pick-up as needed.
  • Prepare shipping and export documents.
  • Separate check stubs weekly by farms/employee list for distribution.
  • Order supplies per Manager's directive.
  • Monitor company email regularly for directives, requests, or responses from HR and/or the on-site manager.
  • Ensure adequate office supplies are available and maintain a safe and clean working environment.

Requirements

  • High School Diploma or equivalent preferred or previous secretarial/clerical experience.
  • Ability to effectively respond to questions, concerns, or needs from employees at all organizational levels.
  • Ability to prioritize and meet deadlines.
  • Ability to work independently and be well organized with attention to detail.
  • Ability to use common computer software such as MS Office and the ability to send emails and to save and send documents for processing.

Nice-to-haves
