About the position

The Bilingual Patient Services Representative at Pediatric Specialists of Virginia is responsible for supporting the Pulmonary/Neurology Outpatient Clinic by managing patient registrations, ensuring accurate information is collected, and facilitating the smooth operation of the clinic's front desk. This full-time role requires proficiency in both Spanish and English, and involves a variety of administrative and clerical tasks to enhance patient experience and clinic efficiency.

Responsibilities

  • Registers patients for emergency and outpatient services, ensuring that complete and accurate information is obtained.
  • Updates existing or creates new patient records, ensuring that information is complete and up-to-date and enters information into the computer database.
  • Collects appropriate payments, logs them into the ledger or automated system, calculates receipts, and prepares packages for courier pick-up in accordance with established procedures and schedules.
  • Accountable for the efficient operation of the front desk and reception function for a clinic or outpatient department.
  • Serves as the first point of contact for patients and visitors and determines the purpose of their visit.
  • Answers and screens telephone calls and takes accurate messages.
  • Responds to inquiries and provides appropriate information or refers to a staff member.
  • Provides a variety of administrative and clerical support to facilitate the smooth operation of the clinic or department.
  • Schedules appointments as needed in the appointment book and/or in the automated scheduling system, following established guidelines.
  • Performs a variety of other clerical tasks: makes copies, sends and receives faxes, opens and distributes mail.
  • Monitors office supplies and forms and ensures that a sufficient quantity is on hand at all times.

Requirements

  • Bilingual in Spanish and English is required.
  • One year experience in a medical office environment.
  • High School Diploma or GED.
  • Basic computer skills: 50 wpm; Microsoft Office.
