About the position

The Billing and Payroll Specialist at S&H Youth and Adult Services is responsible for managing billing processes, payroll functions, and ensuring compliance with relevant regulations. This role requires a detail-oriented individual who can handle claims submissions, payroll processing, and maintain accurate records while supporting the financial operations of the organization.

Responsibilities

  • Electronically submit claims to insurance companies and keep current on all claims.
  • Investigate, resubmit, and appeal any denied claims.
  • Provide requested reports to support billing to CFO, payroll, CEO, accountant, etc.
  • Ensure client demographics and insurance information is accurate and up to date.
  • Maintain Insurance and Claims files.
  • Maintain client confidentiality per HIPAA privacy rule regulations.
  • Communicate issues, information, and support needs to CFO/Designee.
  • Provide support regarding insurance claims and payroll issues.
  • Participate in team meetings.
  • Process the bi-weekly payroll of all employees, including salary, overtime payments, deductions, and bonuses.
  • Collect and review all progress notes, accountability logs, timekeeping, and attendance records using the latest time management software and EHR.
  • Prepare monthly, quarterly, and annual payroll reports to assess the reliability and efficiency of the payroll system as well as cost of service per department and as a whole agency.
  • Ensure tax filings by setting up state tax IDs for the entire organization.
  • Maintain a repository of all essential documents like direct deposit documentation and systems data.
  • Conduct training sessions on the use of time and attendance tracking systems.
  • Facilitate accurate and timely salary disbursement by overseeing payroll functions, from payroll entry and calculations to reviewing payroll policies.
  • Collaborate with internal and external stakeholders to ensure the efficiency of the entire payroll processing system.
  • Support employees throughout their entire payroll lifecycle.
  • Act as a payroll advisor to other departments.
  • Assist in improving the overall planning and control of the payroll department.
  • Other tasks as needed given by CEO/CFO/Designee.

Requirements

  • Experience in billing and payroll processing.
  • Knowledge of HIPAA regulations and client confidentiality.
  • Proficiency in using payroll software and electronic health records (EHR).
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.

Nice-to-haves

  • Experience in a healthcare or social services environment.
  • Familiarity with insurance claims processes.
  • Ability to train others on payroll systems.
