About the position

The Billing and Payroll Specialist at Out of the Box Solutions is responsible for managing billing and payroll operations with a focus on accuracy and compliance. This role requires a detail-oriented individual who can efficiently handle multiple tasks in a fast-paced environment while maintaining professionalism and effective communication with clients and staff. The position is integral to ensuring the financial operations of the agency run smoothly, supporting the mission of empowering individuals with developmental disabilities.

Responsibilities

  • Prepare and submit bi-monthly billing in a timely manner.
  • Verify discrepancies and resolve billing issues promptly.
  • Process timekeeping corrections with field staff.
  • Collaborate with internal and external staff members via phone and email.
  • Maintain a professional and friendly attitude.
  • Work in accordance with state and federal laws.
  • Process bi-weekly payroll for employees.
  • Ensure accurate calculations of wages, overtime, deductions, and benefits.
  • Address and resolve payroll discrepancies or issues as they occur.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Maintain accurate payroll records at all times.
  • Ensure proper documentation for auditing and regulatory purposes.
  • Address employee questions regarding payroll, deductions, and benefits.
  • Maintain all updates within the variety of portals that are being used.
  • Stay current on the state's requirements for billing.

Requirements

  • 2 years proven experience as a Billing and Payroll specialist.
  • Knowledge of payroll software (e.g. ADP, Paychex, Workday) and timekeeping systems.
  • Strong understanding of payroll processes.
  • Familiarity with Google Suites and MS Office, particularly Excel.
  • Excellent numerical and analytical abilities.
  • Excellent attention to detail and accuracy.
  • Exceptional organizational and time-management skills.
  • Effective communication skills, both verbal and written.
  • Ability to work well in a team and follow written and verbal instructions.
  • Applicant must be able to pass a background check.
  • Reliable transportation.
