About the position

The Billing Manager at Steptoe LLP is responsible for overseeing the billing and ebilling processes within the Accounting & Finance Department. This role involves recognizing irregular billing patterns, addressing issues to prevent delinquent unbilled time, and providing operational and personnel leadership to the billing team across multiple office locations. The Billing Manager acts as a liaison between attorneys and the billing team, ensuring compliance with client guidelines and ebilling protocols while also managing personnel development and team dynamics.

Responsibilities

  • Recognize service to clients as the Firm's number one priority.
  • Ensure compliance with client guidelines and ebilling protocols.
  • Handle new employee orientations for the billing department.
  • Review delinquent reports and provide updates on WIP and ebilled AR.
  • Develop, implement, maintain, and improve processes for timely client setup in electronic billing.
  • Lead flat fee billing and reporting as needed.
  • Collaborate with Pricing on maintenance of billing rates.
  • Review write-downs and facilitate discussions with practice group leaders.
  • Create and revise tracking spreadsheets for billing processes.
  • Assist with proforma and bill generation and distribution.
  • Cross-train on various systems and software solutions.
  • Resolve billing and ebilling issues and train team members on resolutions.
  • Manage billing and ebilling email groups for timely responses.
  • Review ebilling software for aged rejections and address with analysts.
  • Implement best practices in legal finance industry billing processes.
  • Provide recommendations to the Director of Billing for process improvements.
  • Assist with month-end procedures and additional issues as they arise.
  • Oversee personnel development and conduct meetings with direct reports.

Requirements

  • College degree or equivalent experience with a high school diploma.
  • Preferred background in law firm or professional services.
  • Previous knowledge of legal billing, electronic billing, finance, and/or revenue cycle.
  • Intermediate skill level with Excel is required.
  • Detail-oriented with excellent oral and written communication skills.
  • Ability to present information effectively in various settings.
  • Strong interpersonal skills to maintain relationships with attorneys and staff.
  • Ability to manage problems and seek resolutions with minimal supervision.
  • Knowledge of Elite 3E is a plus.
  • Proficiency in Microsoft Office products such as Word, Excel, and Outlook.
