About the position

The Billing Operations Coordinator at TAK Communications is responsible for managing the billing processes related to subcontractor material purchases and job requests. This role involves processing invoices, maintaining project files, and ensuring accurate billing in compliance with client requirements. The coordinator will also handle ad-hoc reporting and tracking, contributing to the overall efficiency of the billing operations within the telecommunications sector.

Responsibilities

  • Process subcontractor material purchase order requests
  • Process subcontractor material invoices for payment
  • Process new job requests
  • Process daily timecards
  • Manage ad-hoc reporting and tracking
  • Prepare weekly invoice status tracking and reporting
  • Maintain and organize project files
  • Prepare project invoices including special client billing requirements
  • Follow up on client billing issues until payment is issued
  • Communicate with clients, executive management, project managers, and subcontractors as needed
  • Maintain the accuracy and integrity of project information in the database
  • Reconcile billing inconsistencies or issues as necessary
  • Enter required change orders into the system and process credit memos

Requirements

  • Previous telecommunications experience required
  • Basic understanding of telecom as-built construction maps
  • Basic understanding of job costing, accounts payable, accounts receivable, and timecards
  • Strong analytical skills with the ability to identify and resolve issues quickly
  • Proficient with Microsoft Office Suite, specifically Excel
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to be flexible and adjust to changes
  • Ability to champion a positive environment with a can-do attitude
  • Ability to work in office or at a home office
  • Valid driver's license with a satisfactory driving record
