About the position

The Billing Specialist at Inspira Financial Trust, LLC is responsible for managing billing processes, payment processing, and maintaining Annual Account Fees for client accounts. This remote position requires strong communication and time management skills to ensure accurate and timely collection of fees while fostering positive relationships with internal departments. The role involves processing various billing transactions, managing client accounts, and ensuring compliance with established service levels and internal controls.

Responsibilities

  • Process credit card, ACH, invoices, and direct debit billing transactions.
  • Complete daily processing of collecting fees, including posting of checks, wires, and ACH transactions.
  • Manage client advisor billing and maintenance.
  • Review and process a high volume of client account fee waivers.
  • Research and respond to inquiries via emails, instant messages, phone calls, and case resolution within the CRM system.
  • Review daily scanned documents in the imaging system.
  • Communicate regularly with multiple internal departments and business partners.
  • Record important notes and supporting documentation within the client account portal.
  • Prepare daily balancing reports and conduct monthly fee reconciliation audits.
  • Maintain client accounting records with updated payment methods and client contact information changes.
  • Manage credit card transactions and conduct extensive research on account discrepancies.
  • Effectively communicate and escalate issues requiring intervention from the Team Lead or Manager.
  • Assist in the development and revision of policies and procedures with an emphasis on internal controls.
  • Ensure all processing meets established service levels, policies, and procedures with high accuracy.
  • Perform other duties and projects as assigned.

Requirements

  • 3-5 years of experience in a relevant field.
  • Bachelor's Degree in Business, Finance, or a related field.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Strong verbal and written communication skills.
  • Proactive and analytical problem-solving abilities.
  • Detail-oriented, organized, and dependable.
  • Ability to prioritize and complete assignments within specified timelines.
  • Working knowledge of trust accounting systems, retirement accounts, IRAs, and alternative assets is a plus.
  • Knowledge of IRA/IRS rules and regulations is a plus.
  • Reliable internet service for efficient remote work.
