About the position

We are seeking a bilingual (Spanish/English) detail-oriented Administrative Assistant to join our team at Centro Yolitia LLC. This part-time role is essential in providing administrative support to ensure the efficient operation of the office. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and the capacity to manage multiple tasks simultaneously. Bilingual candidates, particularly those fluent in Spanish, are highly encouraged to apply.

Responsibilities

  • Organize and schedule appointments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Submit and reconcile expense reports
  • Provide general support to clients
  • Act as the point of contact for internal and external clients
  • Support Psychotherapists with client bookings, payments, administrating intake & consent forms
  • Welcome clients to the office, answer client calls and emails, process payments at the end of sessions
  • Maintain Quality Assurance by following up on payments, securing payment information, uploading secure documents, and managing booking software
  • Maintain office area, office supplies, and clinical files
  • Verify insurances and confirm claims from insurance companies
  • Manage messages from social media as required.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent time management skills to meet deadlines in a fast-paced environment
  • Bilingual proficiency in English and Spanish is preferred
  • Familiarity with dental receptionist duties is a plus
  • Proficient in using office software applications (e.g., Microsoft Office Suite)
  • Strong attention to detail for proofreading and document preparation
  • Ability to work independently as well as part of a team

Nice-to-haves

  • Experience with social media
  • Knowledge (or willingness to learn) of Google Suite, Microsoft Office, Theranest, Calendly, and scheduling software is an asset
