About the position

The Bookkeeper and Administrative Assistant at Pantex Bio-Analysis is a crucial role that combines financial management, administrative support, and shipping responsibilities. This position is designed to ensure the smooth operation of the office while maintaining accurate financial records and providing essential support to the team. The ideal candidate will be detail-oriented, tech-savvy, and ready to take on a variety of tasks to contribute to the company's success in the biotech industry.

Responsibilities

  • Maintain accurate financial records, including accounts payable/receivable and general ledger entries.
  • Enter new customer information.
  • Process invoices, purchase orders, expense reports, and payments in a timely manner.
  • Deposit checks, reconcile bank statements and prepare monthly financial reports.
  • Assist with budget preparation and financial forecasting.
  • Manage payroll processing and employee records.
  • Track Use and Sales Tax and pay taxes on time.
  • Pay bills and keep vendor documentation up to date.
  • Provide general administrative support, including answering phones, managing correspondence, and scheduling meetings.
  • Organize and maintain physical and digital filing systems.
  • Assist with HR functions such as maintaining personnel records.
  • Coordinate office supplies and equipment maintenance.
  • Support project management tasks and other team initiatives as needed.
  • Take the lead on kit shipping including printing protocols, assembly and record usage.
  • Ship products domestically or internationally including document generation and tracking.
  • Manage incoming shipments including categorization, paperwork and internal notifications.

Requirements

  • Proven experience as a bookkeeper or in a similar financial role.
  • Proficient in accounting software (e.g., SYSPRO ERP 8) and MS Office Suite.
  • Strong understanding of basic accounting principles and financial reporting.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and accuracy.
  • Effective communication skills, both verbal and written.
  • Experience in a scientific or laboratory setting is a plus.
  • Willingness to manage a diverse range of responsibilities.

Nice-to-haves

  • Associate's degree or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred, or equivalent combination of education and experience.
  • Relevant certifications (e.g., Certified Bookkeeper) are a plus.
