About the position

We are seeking a highly organized and detail-oriented Administrative Assistant/Bookkeeper to join our team at a private hospitality club located at 200 South Michigan Avenue, Chicago, IL. The successful candidate will be responsible for providing essential administrative support to our accounting department, playing a crucial role in maintaining the accuracy and integrity of our financial records. This position requires a strong understanding of technical accounting principles and excellent customer service skills to ensure a welcoming experience for our members and guests. The Administrative Assistant/Bookkeeper will manage various financial tasks, including accounts payable and receivable, processing invoices, payments, and financial transactions for the club and restaurant. Training will be provided for these tasks, ensuring that the candidate is well-prepared to handle the responsibilities. The role also involves performing technical accounting tasks such as account analysis, reconciliations, and account maintenance, utilizing accounting software like QuickBooks and Excel to manage accounts, track expenses, and generate financial reports. In addition to accounting duties, the candidate will assist with general administrative support, including answering phones, responding to emails, and providing information about club services. Maintaining an organized office setting is essential, as is the ability to multi-task and meet deadlines. The successful candidate will also be responsible for maintaining the dining/event reservations system, assisting in payroll tip allocation for bi-weekly payroll, and ensuring that all financial documents are organized and up-to-date. Excellent communication and interpersonal skills are necessary to greet and assist members and guests effectively, addressing inquiries and ensuring a welcoming experience.

Responsibilities

  • Manage the processing of invoices, payments, and financial transactions for the club and restaurant.
  • Perform technical accounting tasks, including account analysis, reconciliations, and account maintenance.
  • Utilize accounting software, including QuickBooks and Excel, to manage accounts, track expenses, and generate financial reports.
  • Prepare and review financial documents, such as bank statements, invoices, and credit memos.
  • Assist with account reconciliation, including reviewing and resolving discrepancies.
  • Maintain organized and up-to-date filing systems for financial documents.
  • Provide general administrative support, including answering phones, responding to emails, and member inquiries.
  • Maintain dining/event reservations system.
  • Assist in payroll tip allocation for bi-weekly payroll.
  • Provide excellent customer service by greeting and assisting members and guests.
  • Write and distribute emails, memos, letters, and other forms of communication as needed.
  • Maintain communication about events and Club happenings with members via constant contact platform.
  • Perform general office duties such as filing, data entry, and maintaining records.

Requirements

  • High school diploma or equivalent required.
  • Experience with accounting software, including QuickBooks and Maître D POS system, is essential.
  • Strong understanding of technical accounting principles, including accounts payable, accounts receivable, and account analysis.
  • Excellent organizational and analytical skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Strong communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite, particularly Excel.
  • Ability to multi-task and meet deadlines.

Nice-to-haves

  • Hospitality background is a plus.
  • 2 years of bookkeeping experience (preferred).
