About the position

We are seeking a detail-oriented and organized Construction Office Manager / Bookkeeper to join our team in Miami Beach, FL. This full-time position requires strong financial management skills and experience in the construction industry. The ideal candidate will be responsible for maintaining financial records, processing transactions, and ensuring the smooth operation of accounting functions for the business.

Responsibilities

• Process and record daily financial transactions, including purchases, expenses, sales, and payments.
• Handle accounts payable and receivable, payroll, general ledger reconciliation, and balance sheet reconciliation.
• Generate monthly and quarterly financial reports, such as balance sheets and income statements.
• Reconcile bank accounts and credit card statements regularly to ensure accuracy.
• Manage and process monthly subcontractor/vendor billing and ensure timely payments.
• Oversee the payment of overhead bills, including utility bills and tax payments.
• Prepare and issue AIA billing or cost-plus invoicing for clients on a monthly basis.
• Prepare and monitor purchase orders and assist project managers with change orders.
• Track and manage all Notices to Owners (NTOs) from subcontractors and suppliers to ensure compliance.
• Collect and verify subcontractor Certificates of Insurance (COIs) and Workers' Compensation insurance.
• Track and maintain lien releases for all subcontractors and suppliers.

Requirements

• Proven experience as a Bookkeeper or in a similar accounting role, preferably within the construction industry.
• Strong proficiency in Sage 100 or similar construction accounting software.
• Excellent attention to detail and organizational skills.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Strong communication skills and the ability to work closely with project managers, subcontractors, and vendors.
