About the position

Randall Stofft Architecture (RSA) is seeking a Bookkeeper/Administrative Assistant to manage the financial recording needs of the firm. This role involves providing bookkeeping services, maintaining financial systems, and assisting with office administration tasks. The position requires punctuality and adherence to standard office hours, as it is not a hybrid or flexible work model.

Responsibilities

  • Perform basic office tasks such as creating client files and answering phones.
  • Identify and resolve discrepancies for vendor proposals, invoices, statements, and timesheets.
  • Track and collect correspondence for past due invoice payments.
  • Process accounts receivable/payable, invoicing, and payroll processing in a timely manner.
  • Maintain records of financial transactions by posting and verifying.
  • Develop systems to account for financial transactions by establishing a chart of accounts.
  • Maintain subsidiary accounts by posting, verifying, and allocating transactions.
  • Reconcile entries to balance subsidiary accounts.
  • Maintain a balanced general ledger.
  • Prepare a trial balance for the accountant.
  • Prepare financial reports by collecting, analyzing, and summarizing accounting information.
  • Monitor for variances from the projected budget.
  • Ensure adherence to accounting standards and tax law.
  • Prepare monthly or quarterly income statements, balance sheets, and cash flow reports.

Requirements

  • 3+ years of proven bookkeeping experience.
  • Solid understanding of basic bookkeeping and accounting payable/receivable principles.
  • Proven ability to calculate, post, and manage accounting figures and financial records.
  • Strong data entry skills along with an aptitude for numbers.
  • Proficiency in MS Office, QuickBooks, ZOHO (plus), and Paylocity (plus).
  • Exceptional time management and verbal and written communication skills.
  • Familiarity with basic accounting principles.
  • Professional manner and a strong ethical code.
  • Ability to multitask and remain motivated and positive.
  • Commitment to working efficiently and accurately.
  • Ability to maintain regular, punctual attendance.

Nice-to-haves

  • Experience with ZOHO and Paylocity software.
