The Bookkeeper/Administrative Assistant position at UA Local 393 is a full-time role based in San Jose, CA, where the individual will play a crucial part in maintaining the financial integrity of the organization. The primary responsibility of the bookkeeper is to assist in managing daily financial transactions and preparing monthly reports for the membership. This role requires a strong background in accounting, with a focus on accounts payable, accounts receivable, payroll, and general ledger management. The bookkeeper will ensure that the organization's financial data is accurate, up-to-date, and well-organized, which is essential for effective financial reporting and decision-making. In addition to financial responsibilities, the bookkeeper will also perform various clerical and administrative duties, including dispatch operations. This multifaceted role requires excellent organizational skills and the ability to manage multiple priorities effectively. The bookkeeper will interface with members, process membership information and applications, and provide general administrative support as needed. The position is in-person, requiring the individual to work Monday through Friday from 8 AM to 5 PM, ensuring a structured work environment that promotes productivity and collaboration. The ideal candidate will have a positive attitude, strong communication skills, and proficiency in QuickBooks and Microsoft Office. This role is vital for the smooth operation of the organization, contributing to both financial management and member services.

Responsibilities

  • Maintain accurate records of all financial transactions
  • Process accounts payable and accounts receivable transactions
  • Process and record bank deposits
  • Prepare and process weekly payroll
  • Prepare monthly financial reports
  • Inventory control
  • Perform other finance related responsibilities as assigned
  • Data entry and typing letters or documents from rough draft or copy
  • Interfacing with members and processing membership information and applications
  • Provide other clerical and administrative support as assigned

Requirements

  • 3-5+ years of accounting experience including accounts payable, accounts receivable, payroll, general ledger, bank reconciliations
  • Administrative experience in an office, customer service
  • Proficiency in QuickBooks and Microsoft Office
  • Excellent organizational skills and attention to detail and accuracy
  • Ability to work independently and manage multiple priorities
  • Positive attitude and excellent communication/interpersonal skills
