About the position

We are seeking an experienced Bookkeeper with Executive Assistant skills to support the Owners of the company and manage interactions with outside clients. This role involves handling financial records, including accounts payable, receivables, and payroll, while also providing administrative support to ensure smooth operations within the company.

Responsibilities

  • Manage Accounts Payable (A/P) and Accounts Receivable (A/R) processes.
  • Handle payroll functions and related human resources tasks.
  • Oversee insurance policies and claims management.
  • Collaborate with the Company Accountant on financial matters.
  • Answer phone calls and manage a multiple line phone system.
  • Provide coverage for the Install and Service Department as needed.
  • Work independently and collaboratively with team members.
  • Conduct job costing and manage work in progress (W.I.P.) for quarterly and year-end reporting.
  • Schedule appointments and manage calendars.

Requirements

  • 1 year of experience with QuickBooks for managing financial records.
  • 1 year of experience with Microsoft Office 365.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Detail-oriented mindset with a focus on accuracy in account reconciliation and financial reporting.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.

Nice-to-haves

  • Experience in human resources management.
  • Familiarity with job costing and financial reporting processes.
