About the position

The Bookkeeper and Executive Assistant will manage bookkeeping duties, assist with administrative tasks, and provide executive support. The ideal candidate is detail-oriented, highly organized, and adept at managing financial records while balancing administrative responsibilities. Proficiency in QuickBooks, Microsoft Office Suite, Adobe, and executive assistant skill sets are essential.

Responsibilities

  • Maintain accurate financial records and general ledger entries using QuickBooks.
  • Process accounts payable and receivable, prepare invoices, and monitor expenses.
  • Reconcile bank statements and track office expenses.
  • Assist in budgeting, forecasting, and financial reporting for the office.
  • Organize and manage day-to-day office activities to ensure smooth operations.
  • Coordinate meetings, appointments, and travel arrangements for executive staff.
  • Assist with document preparation, filing, and data entry as needed.
  • Develop and maintain efficient office processes and procedures.
  • Provide direct administrative support to executives, including managing calendars, scheduling meetings, and handling correspondence.
  • Prepare and edit presentations, reports, and other documents using Adobe and Microsoft Office tools.
  • Serve as a liaison between executives and internal or external stakeholders.
  • Assist with special projects, including tourism events and campaigns, and provide support for promotional materials.
  • Collaborate with the marketing team to design and format brochures, newsletters, and other digital content using Adobe Creative Suite.

Requirements

  • Proven experience in bookkeeping, ideally in a similar industry or office environment.
  • Proficiency in QuickBooks for accounting and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Basic knowledge of Adobe Creative Suite (Photoshop, InDesign) for document preparation and editing.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize effectively in a fast-paced setting.
  • Exceptional attention to detail and accuracy in financial record-keeping.
  • Excellent communication skills, both written and verbal.

Nice-to-haves

  • Familiarity with tourism and hospitality industry accounting.
  • Experience with executive support functions, including project management and stakeholder communication.
  • Ability to handle sensitive information with confidentiality and discretion.
