About the position

The Grants Bookkeeper position is part of the LP&SS division and reports to the Coordinator of CTAE. This non-exempt role involves preparing, coordinating, and monitoring annual budgets for various funds and grants, including local, state, and federal funds. The position requires meticulous record-keeping and compliance with financial regulations, as well as processing reimbursements and managing financial paperwork. The successful candidate will also handle travel arrangements and maintain accurate financial records, ensuring accountability and transparency in all financial transactions.

Responsibilities

  • Prepare, coordinate, and monitor the annual budgets for identified funds and grants.
  • Record and account for State and Federal grant funds and selected local expenditures.
  • Process a variety of forms and reports to ensure proper and complete accountability of funds.
  • Coordinate budget requirements and administer the expenditure process.
  • Coordinate and process reimbursements of financial expenditures.
  • Coordinate correspondence and updates with appropriate staff.
  • Coordinate travel and registration to conferences and workshops.
  • Perform computer data entry to record, update, and retrieve department information.
  • Compute and verify bills for service, invoices, purchase orders, and other data.
  • Prepare weekly, monthly, and annual financial reports for Finance.
  • Perform year-opening and year-end-closing procedures for all local, state, and federal grants/funds.
  • Perform general clerical duties as necessary.
  • Effectively interact and communicate with HCS staff, state and federal agency representatives, and vendors.
  • Perform all other duties and responsibilities as assigned.

Requirements

  • High School Diploma or state-approved High School Equivalency (HSE), required.
  • One to two years of bookkeeping experience, or an equivalent combination of education, training, and experience.
  • Ability to successfully operate a variety of office equipment such as computers, printers, copiers, etc.
  • Ability to work well with students, parents/guardians, staff, and the community.
  • Exceptional integrity, commitment to confidentiality, excellent character, and strong professional reputation.
  • Ability to abide by the Georgia Professional Standards Code of Ethics for Educators.
  • Ability to be regularly, predictably, and reliably at work.
  • Ability to be present at the physical worksite.
  • Ability to perform tasks involving prolonged periods of standing, walking, and sitting.
  • Ability to perform routine physical activities such as bending and lifting/pushing/pulling up to 50 pounds.
  • Vision, hearing, written, and verbal communications are essential factors in performing required tasks.
