About the position

The Bookkeeper position at Hoover City Schools is a vital role responsible for maintaining accurate financial records in compliance with state, federal, and local laws. The individual in this position will report directly to the Principal or a designated supervisor and will play a key role in supporting the school system's vision, mission, goals, and priorities. The Bookkeeper will be tasked with a variety of financial responsibilities, including monitoring, collecting, receipting, depositing, paying, remitting, recording, and balancing all money collected in accordance with related laws and system guidelines. This role requires a detail-oriented individual with strong accounting and math skills, as well as excellent organizational and time-management abilities. In addition to maintaining financial accounts and records, the Bookkeeper will assist auditors with periodic audits, manage attendance and payroll records, and act as a resource for employees regarding accounting and payroll information. The position also involves maintaining inventory and submitting required reports and records as requested. Confidentiality is paramount, as the Bookkeeper will handle sensitive information related to programs, projects, and individuals within the district. The role requires effective communication and collaboration with a wide variety of stakeholders, including students, parents, staff, administrators, and the public. The Bookkeeper will utilize current technology to manage data and produce necessary reports, correspondence, and financial information. The position demands reliability in attendance, punctuality, and task performance, as well as a professional demeanor in all interactions. The individual will also be expected to demonstrate initiative in identifying opportunities for improvement within their areas of responsibility and adhere to local Board policies, administrative procedures, and applicable laws.

Responsibilities

  • Demonstrates support for the school system and its vision, mission, goals, and priorities
  • Accurately maintains financial accounts and records; monitors, collects, receipts, deposits, pays, remits, records, and balances all money collected in accordance with related laws and System guidelines
  • Assigns receipt books/lists and purchase order numbers; verifies accuracy of use and adherence to established guidelines
  • Assists auditors with periodic audits as requested
  • Assists in developing budget as requested
  • Manages and maintains attendance and payroll records and submittal; acts as a resource to employees regarding accounting and payroll information and requests
  • Maintains inventory and submits required reports and records as requested
  • Treats all information and knowledge of any program, project, or individual in the District setting with strict confidentiality; uses discretion in all communication
  • Keeps administrators, teachers, and/or staff abreast of the status of financial accounts and limitations/guidelines related to their area of responsibility
  • Produces, records, and responds to, as directed, information requests, correspondence, reports, notices, recommendations, and materials
  • Uses office technology/software to complete job responsibilities as assigned
  • Demonstrates general reliability in attendance, punctuality, and task performance
  • Performs duties and represents the System in a courteous, positive, and professional manner
  • Attends and participates in meetings and professional development as directed
  • Demonstrates initiative in identifying opportunities for improvement in areas of responsibility
  • Maintains and submits required reports, records, and correspondence in a timely and accurate manner
  • Properly cares for equipment and material resources of the school system
  • Uses effective collaboration skills to work as a productive team member
  • Adheres to local Board policies, administrative procedures, and other like directives, as well as state, federal, and local laws
  • Performs other job-related duties as assigned by Supervisor(s)

Requirements

  • High school diploma or equivalent
  • Minimum of three (3) years' experience in a comparable position
  • Broad knowledge of basic office procedures and functions, including electronic and manual filing, record keeping, purchasing and bookkeeping, word processing, and required reporting
  • Strong accounting and math skills
  • Detail oriented; excellent organizational and time-management skills
  • Ability to work effectively in a team environment
  • Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups including students, parents, staff, administrators, and the public
  • Ability to proficiently use current technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information
  • Ability to meet suitability criteria under the Alabama Child Protection Act of 1999 and Act No. 2002-457
