About the position

The Bookkeeper/Office Manager position at Poseidon Boat Services is a part-time role requiring 10 hours of work per month. The primary focus is on managing the financial records and scheduling for a small business that services boats in the marinas of Alameda and surrounding areas. The ideal candidate will be detail-oriented and proficient in QuickBooks, ensuring accurate financial reporting and customer management.

Responsibilities

  • Keep schedule of 50 customers currently managed in Google Sheets, with openness to a better scheduling system.
  • Add new customers to the schedule and remove those who no longer use the service.
  • Contact customers via email/text to confirm service.
  • Coordinate with the team to perform service.
  • Send invoices via QuickBooks for performed services.
  • Monitor payments.
  • Schedule service for the next time (in 2-3 months).
  • Reconcile monthly the bank account, credit card, PayPal, and Venmo in QuickBooks.
  • Provide P&L report to the owner monthly.
  • Provide annual P&L to the company's CPA for filing taxes.
  • Pay monthly business insurance.
  • Pay annual business license to the City of Alameda.
  • File CA State Statement of Information and other regulatory filings.
  • Keep an archive of documents in Google Drive.

Requirements

  • Proficient in QuickBooks.
  • Detail-oriented with strong organizational skills.
  • Experience in bookkeeping and financial management.

Nice-to-haves

  • Fluency in Portuguese.
