The Senior Bookkeeper in the Nursing Staff Office at Newark Beth Israel Medical Center plays a crucial role in ensuring appropriate staffing for nursing units. This position requires collaboration with Nursing Directors, Administrative Coordinators, and other stakeholders to maintain various information essential for staffing and budgetary purposes. The Senior Bookkeeper is responsible for completing New Jersey Staffing Reports and distributing them to the relevant units as directed by the ANSOS Coordinator, Director of Finance - PCS, and Vice President and Assistant Vice Presidents of PCS. This role is vital in supporting the operational efficiency of the nursing staff and ensuring that patient care is not compromised due to staffing shortages. In this position, the Senior Bookkeeper will attempt to schedule additional staff as needed, based on requests and information from Nursing Directors or their designees. They will collaborate closely with Nursing Directors to maintain accurate weekly time sheets and will be responsible for reviewing and inputting all daily staffing report changes into the ANSOS system. The Senior Bookkeeper will document all sick, absent, and cancellation calls, ensuring that the appropriate units are notified promptly. Additionally, they will collect current census and staffing information from all units at specified times throughout the day and post the current staffing report in the supervisor's office. The role also involves completing the NJ Staff Reporting worksheets and distributing them to the units, as well as managing payroll check distributions on payday and as requested. The Senior Bookkeeper will identify unit needs using ANSOS Weekly Staffing Reports and maintain communication with Nursing Directors regarding staff availability and utilization. They will also be responsible for maintaining essential records, such as the names, addresses, and telephone numbers of nursing department employees, as well as staffing data in the ANSOS system. Other duties may include maintaining a restraint log book and database, verifying account information for PYXIS charges, and performing any additional tasks as requested by management.
