About the position

The Bookkeeper position at Worldwide Jet involves managing financial operations to ensure the company's fiscal health and compliance. This role is crucial for overseeing accounts, preparing financial reports, and maintaining client and vendor relationships, all while supporting the overall operational success of the organization.

Responsibilities

  • Oversee accounts receivable and payable processes, ensuring timely payments and collections.
  • Support monthly closings and prepare financial statements.
  • Reconcile and maintain daily, weekly, and monthly reports.
  • Handle client, vendor, and team member communications to ensure smooth transactions and account management.
  • Accurately enter daily transactions and journal entries, and audit client/vendor records.
  • Create, review, and distribute invoices, account statements, and other financial reports, ensuring accuracy and timeliness.
  • Review aircraft activity folders, flight logs, and expense reports to ensure invoices are accurate and delivered to clients promptly.
  • Maintain aircraft fleet subscriptions and service plans, ensuring compliance and correct billing.
  • Provide accounting and administrative assistance to various departments.
  • Handle and protect confidential information with discretion and integrity.
  • Assist in training new employees on best practices.
  • Assist in tax preparation and filing to meet local, state, and federal regulations.
  • Reconcile bank statements and address discrepancies promptly.
  • Answer incoming calls and assist with inquiries.

Requirements

  • Bachelor's degree preferred, but not required.
  • 1-3 years of relevant work experience in accounting or finance.
  • Strong professional communication skills for interaction with internal and external vendors.
  • Ability to learn multiple accounting software platforms, primarily QuickBooks.
  • Proficient in Microsoft Office Suite.
  • Detail-oriented with a high level of accuracy in record-keeping and documentation.
  • Ability to prioritize tasks effectively and manage multiple projects concurrently.
  • Flexible mindset with the ability to adapt to changing priorities.
  • Experience with processing expense reports, billing, invoices, payments, and payroll.
  • Familiarity with financial concepts such as debits, credits, and double-entry bookkeeping.
  • Ability to work independently as well as part of a team.
  • Strong analytical skills with the ability to interpret complex financial data.
