About the position

The Bookkeeper position at Fusion of Ideas in Lake Forest, CA, is an excellent opportunity for individuals seeking part-time work, specifically 25-30 hours per week. The role offers flexibility in scheduling, with required hours falling between 7 am and 4 pm, Monday through Friday. This position involves a variety of accounting tasks, including data entry, transaction collection, and the maintenance of financial records. The successful candidate will be responsible for paying invoices, completing payroll, and assisting with the filing of tax returns, ensuring that all financial activities are conducted accurately and efficiently. In this role, the Bookkeeper will manage day-to-day invoicing and payment settlements for various projects, oversee accounts receivable (AR) and accounts payable (AP) functions, and handle project purchase requests. The position requires the preparation of journal entries and transactions in QuickBooks Online, including payroll, bank, and credit card transactions. Additionally, the Bookkeeper will be responsible for depreciation and amortization journal entries, gathering monthly expense reports, and updating journal entries accordingly. The role also includes preparing monthly and quarterly reports such as Profit & Loss statements, Balance Sheets, Cash Flow statements, and other relevant spreadsheets. The Bookkeeper will analyze actual operations against budgeted figures and perform account reconciliations on a weekly and monthly basis. Maintaining records in accordance with generally accepted accounting principles (GAAP) and streamlining accounting processes through the development of standard operating procedures (SOP) are also key responsibilities. Participation in special projects may be required as needed.

Responsibilities

  • Complete data entry and collect transactions.
  • Track debits and maintain financial records.
  • Pay invoices and complete payroll.
  • Assist with filing tax returns.
  • Manage day-to-day invoicing and payment settlement for projects.
  • Oversee day-to-day management of accounting functions for AR and AP.
  • Manage project purchase requests.
  • Prepare journal entries and transactions into QuickBooks Online for payroll, bank, and credit card transactions.
  • Handle depreciation and amortization of journal entries.
  • Gather monthly expense reports and update journal entries.
  • Help prepare monthly and quarterly reports (P&L, BS, Cash Flow, and other spreadsheets).
  • Prepare numbers to review control of actual operations vs. budget.
  • Perform account reconciliations on a weekly and monthly basis.
  • Maintain records in accordance with generally accepted accounting principles and standards.
  • Maintain accounting SOP to streamline accounting processes.
  • Participate in special projects as needed.

Requirements

  • High School diploma or GED required; Bachelor's degree recommended.
  • 2+ years of working with QuickBooks Online.
  • 3+ years of bookkeeping and AR/AP experience.
  • Proficient in Microsoft Office Suite and Google Suite.
  • Technologically adept and able to work on an Apple/Mac computer.
  • Quick learner and innovative.
