About the position

The School Bookkeeper is responsible for managing the financial accounting and specialized clerical work of the school. This role involves maintaining accurate financial records, processing transactions, and providing necessary training to staff. The Bookkeeper plays a crucial role in presenting the financial position of the school and ensuring compliance with fiscal policies.

Responsibilities

  • Maintain a complete and systematic set of records of all financial transactions of the school.
  • Record details of school financial transactions in appropriate journals and subsidiary ledgers.
  • Summarize and balance entries recorded in individual journals and ledgers, and transfer data as appropriate.
  • Trace errors and record adjustments to correct charges or credits posted to incorrect accounts.
  • Reconcile canceled checks with bank statements and verify bank balance with statements.
  • Prepare all payroll records for monthly and semi-monthly payrolls, including notices for FMLA or other leave options.
  • Maintain financial records and complete monthly reports for Finance.
  • Complete all bank deposits of school monies; manage accounts receivable and accounts payable.
  • Ensure adherence to all OCS policies and administrative directives governing fiscal matters.
  • Attend professional development/training as prescribed by the Principal and/or OCS Chief Finance Officer.
  • Respond to inquiries and provide direction to staff and administration regarding financial policies and procedures.
  • Maintain records of all field trips and prepare Fiscal Notes for the Chief Finance Officer.
  • Maintain current W-9 information and report this list yearly to the school system Finance Office.

Requirements

  • High School Diploma or GED
  • Two (2) years of experience in performing secretarial and/or bookkeeping work
  • Advanced knowledge of accounting procedures and budget analysis
  • Ability to create computer spreadsheets and reports
  • Thorough knowledge of bookkeeping terminology, methods, procedures and equipment
  • General knowledge of accounting principles and related data processing equipment
  • Ability to understand and follow oral and written directions
  • Ability to establish and follow detailed work procedures
  • Ability to post accounts and perform mathematical computations with speed and accuracy
  • Advanced skill in using a variety of office machines and computer equipment.

Nice-to-haves

  • Associate's Degree or Vocational Training in Accounting, Bookkeeping, Finance, or related area
  • Three (3) to five (5) years of experience serving as a bookkeeper and/or secretary in a public school setting
  • Valid driver's license issued by the NC Department of Motor Vehicles.
