About the position

The Books Team Data & Content Manager at PJ Library is a vital role that supports the Book Selection Committee in managing submissions and ensuring the selection of high-quality children's books. This position involves data management, communication with authors and publishers, and collaboration with various teams to enhance the book selection process. The role is full-time with growth potential and requires occasional travel to the home office in Agawam, Massachusetts.

Responsibilities

  • Support the PJ Library Book Selection Committee (BSC) through submissions management and book selection tasks
  • Manage all PJL submissions in Submittable
  • Handle intake and provide initial review
  • Assign submissions to the PJL submissions gatekeepers
  • Prepare submissions for committee review
  • In conjunction with BSC Chair, ensure all publishers, authors, agents, etc., receive appropriate responses post-review
  • Manage the Author Incentive Award program
  • Track eligible books and notify BSC ChairPublisher Relations Manager
  • Oversee AIA check process, managing completion with the Content Associate
  • Work with PJ Our Way team to exchange all pertinent submissions information
  • Communicate sensitive information with creators, agents, and publishers about their submissions
  • Develop and maintain strong systems to keep data updated in CRM
  • Manage the Books Team data in Salesforce, ensuring a streamlined process for correctly coding and tagging back log and current titles according to the PJ Library Content Framework
  • With the support of the Content Associate, ensure all book data is regularly updated in Salesforce
  • Collaborate with the Author Stewardship Coordinator to ensure author events and initiatives are coded correctly
  • Liaison with web team for website updates and edits as needed
  • Create and develop book-specific reports in Salesforce, Submittable, etc
  • Support management of Book Selection Committee processes and systems
  • Help set up and support strong project management system for the team to track manuscripts from submission to publication
  • Maintain Books Possibility List for potential inclusion in program
  • Support BSC Chair with operationalizing updates to selection process
  • Support field testing and monthly book surveys
  • Develop a standardized system and timeline for efficient book field testing
  • Ensure field testing findings are shared with the BSC
  • Help oversee the monthly book survey process, including evaluating general and title-specific questions
  • Working with the operations team to analyze book survey data, and share findings with the BSC
  • Support with additional ContentBooks Tasks
  • Liaison with other HGF departments to fulfill requests for book information and statistics to increase the visibility of books
  • Update various book selection documents and spreadsheets

Requirements

  • 3-5 years of professional work experience
  • Highly motivated and able to take initiative
  • Familiarity with using a database or CRM to input data, maintain clean coding structures, and build reports
  • Ability to communicate clearly and concisely, including excellent written communication skills
  • Strong organization skills, including the ability to manage multiple projects and competing priorities (team agendas, calendars, production schedules, etc); must be detail-oriented
  • Experience with Salesforce and Excel
  • Familiarity with Submittable and Adobe a plus
  • Passion for books and literature
  • Connection to or interest in Jewish life or Jewish books
