About the position

The Branch Administrative Assistant at Hydradyne, LLC is responsible for performing various administrative functions to support the branch's operations. This role includes invoicing customer orders, scheduling appointments, managing correspondence, and assisting with inventory and shipping tasks. The position requires strong organizational skills and the ability to handle multiple projects while maintaining confidentiality and professionalism.

Responsibilities

  • Perform administrative functions including invoicing customer orders and various operational tasks as required by the Manager or Corporate.
  • Schedule appointments, provide information to callers, and distribute mail.
  • Compose memos, research and create presentations, generate reports, and manage multiple projects.
  • Respond independently to routine correspondence for the manager and maintain confidentiality.
  • Make travel arrangements and prepare itineraries as needed.
  • Assist with branch inventory, shipping, and receiving tasks.
  • Maintain files, freight bills, and petty cash records.
  • Act as a backup to answer telephones and assist with all invoicing.

Requirements

  • 3 years of administrative experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong communication skills, both written and verbal
  • Excellent time management skills
  • Ability to multi-task and work independently or as part of a team
  • Strong business acumen and professionalism
  • Ability to interface effectively with customers

Nice-to-haves

  • 1 year of data entry experience
  • 2 years of proficiency in Microsoft Office
