About the position

As a Branch Office Administrator at UBS, you will play a crucial role in supporting the local branch management team in Fort Lauderdale, Florida. This position involves a variety of administrative tasks that are essential for the smooth operation of the branch. You will be responsible for managing calendars, which includes scheduling conference calls, vacations, and client meetings. Additionally, you will arrange travel bookings and itineraries for the management team, ensuring that all travel logistics are handled efficiently. Your role will also encompass general office administration duties, such as ordering supplies, scheduling vendors, and managing conference logistics. You will be the go-to person for troubleshooting and providing support for any technology challenges or issues that may arise in the office. Furthermore, you will assist with finance management by processing invoices and expenses, which is vital for maintaining the financial health of the branch. In addition to these responsibilities, you will coordinate and plan branch office business meetings, lunches, and various cultural activities, contributing to a positive and engaging work environment. You will be working closely with the South Florida Management Team, directly supporting the local Managing Director and Associate Market Executive, which will provide you with valuable insights into the operations of a leading global wealth manager.

Responsibilities

  • Support the local branch management team administratively.

  • Support office administration, such as ordering supplies, scheduling vendors, and managing conference logistics.
  • Troubleshoot and provide support for any technology challenges/issues that may arise in the office.

Requirements

  • 3+ years of relevant office administrative experience in a fast-paced, large enterprise.
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams).
  • Technically savvy with the ability to learn new software quickly.
  • Flexible, adaptable, can-do attitude with strong interpersonal skills.
  • Keen attention to detail, organized and able to seamlessly multitask.
  • Self-starter who is comfortable managing complex and evolving situations.
  • Proven written and verbal communication skills.
