We are currently seeking a passionate Branch Office Administrator to join our stellar team. This full-time position is based in Puyallup, WA, and offers a competitive pay of $21 per hour. The Branch Office Administrator will play a crucial role in supporting an excellent team member experience by ensuring that management, service specialists, customer care, and sales specialists are aligned in the day-to-day operations and reviewing of routes. In this role, you will be responsible for reviewing routes and boundaries for the service specialists, balancing annual service setups, and coordinating route completion with the Operations Manager. You will also be involved in scheduling termite/exclusion renewals, collecting payments, and updating the District Manager regarding route completion for meetings. Additionally, you will assist with month-end closure, scheduling initial services with outside sales specialists, and managing call notifications. Your organizational skills will be essential as you review various reports and assist with account information updates. This position requires a high school diploma or equivalent and a minimum of 2 years of customer service experience. Strong time management, organization, and critical thinking skills are essential, along with excellent verbal and written communication abilities. You will be adept at building relationships with both internal and external customers, ensuring a seamless operation within the branch.

Responsibilities

  • Reviewing routes and boundaries for the service specialists and updating to prevent several service specialists in the same areas for the month.
  • Balancing annual service setups and cleaning up routes.
  • Reviewing monthly routes with the Operations Manager once generated for daily goals.
  • Routing the entire month and optimizing daily routes.
  • Coordinating route completion with the Operations Manager.
  • Scheduling termite/exclusion renewals and collecting payments.
  • Updating the District Manager regarding route completion for meetings.
  • Reviewing BI Tool daily.
  • Assisting Operations Manager and District Manager with month-end closure.
  • Scheduling initial service with the outside sales specialists on the phone.
  • Sending out call notifications for the following day - Robocalls.
  • Assisting other DOC for scheduling with the outside sales specialists.
  • Assisting the Operations Manager with posting batches.
  • Reviewing the rollover report for the current period and updating the Operations Manager/District Manager of moved work with no notes.
  • Assisting with cancellations and accounts receivable.
  • Assisting service specialists with account information, notes, and updates.
  • Updating the CCR guide regarding service specialist information.

Requirements

  • High School Diploma or Equivalent
  • A minimum of 2 years of customer service experience
  • Prior CRM experience
  • Excellent time management, organization, and critical thinking skills
  • Strong verbal and written communication skills
  • Adept at contacting and building relationships with internal and external customers.
