About the position

The Branch Operations Manager at National HME, Inc. is responsible for overseeing the daily operations of a branch or satellite location that provides durable medical equipment (DME) services. This role ensures that the branch operates efficiently and in alignment with the company's mission and standards, while also managing personnel, compliance, and customer service. The manager plays a crucial role in maintaining operational excellence and fostering a positive work environment.

Responsibilities

  • Perform daily reviews of supervised personnel to ensure job performance meets expectations.
  • Review timesheets to identify and manage overtime, scheduling personnel accordingly.
  • Maintain and update employee personnel records as needed.
  • Ensure proper coverage for Technician on-call schedules.
  • Address behavioral issues among staff according to company policy.
  • Review and authorize all requested PTO from staff.
  • Conduct weekly meetings with staff to discuss improvements and service standards.
  • Complete required education, certification, and competency testing for all job functions managed.
  • Maintain personnel files, patient medical records, and contracts securely.
  • Review emergency procedure policies and HIPAA procedures annually with staff.
  • In-service all personnel on proper respiratory therapy protocols and communication.
  • Ensure timely completion of orders through computer software.
  • Coordinate staff in disaster situations according to procedures.
  • Review route sheets and inspection sheets for logistical accuracy and compliance with DOT regulations.
  • Ensure compliance of technicians with State and Federal DOT regulations.
  • Maintain service records of company vehicles to meet DOT and State codes.
  • Foster strong relationships and communication with Hospice accounts.
  • Follow up on all Hospice or Family complaints and review completed route sheets for technician productivity.
  • Review lost equipment reports and take prompt action to resolve issues.
  • Ensure accurate billing and timely pickup of rental equipment no longer needed.
  • Review hospice discharge reports and follow up regarding specific patients.
  • Ensure monthly billing and invoices are accurate for the location.
  • Provide adequate patient education and conduct patient surveys.
  • Code invoices received from corporate and resubmit promptly.
  • Generate reports and collect data for monthly operating reports (MORs).
  • Oversee compliance with equipment-scheduled services and HQAA standards.
  • Report all accidents/incidents to corporate in a timely manner.
  • Update all posted signs, forms, lists, and contact information as needed.
  • Arrange necessary services for the office, warehouse, and vehicles.

Requirements

  • Bachelor's degree preferred or equivalent combination of education and experience.
  • Two years of industry-related experience and/or training.
  • Proficient ability to supervise multiple employees in accordance with company policies and applicable laws.
  • Strong interpersonal and communication skills to foster professional relationships organization-wide.
  • Ability to read, analyze, and interpret business documents and regulations.
  • Proficient in writing reports, business correspondence, and procedure manuals.
