About the position

The Executive Assistant role at Creative Artists Agency (CAA) involves providing high-level administrative support to multiple senior executives in a fast-paced environment. The position requires confidentiality, initiative, and sound decision-making skills, as well as the ability to manage complex calendars, prepare reports, and facilitate communication among various stakeholders. The ideal candidate will thrive in a collaborative culture and demonstrate strong organizational and problem-solving abilities.

Responsibilities

  • Provide dedicated administrative support to multiple senior executives, ensuring exceptional stakeholder support service.
  • Own, efficiently manage, and prioritize a high-volume, complex calendar, scheduling and rescheduling meetings while considering dependencies and potential conflicts and competing priorities.
  • Prepare and submit accurate expense reports, reconcile corporate credit cards, and manage department invoices.
  • Assist with the creation and preparation of meeting and presentation materials - slides, proposals, onboarding decks.
  • Serve as a thought partner and trusted advisor to the Executive and their teams.
  • Provide comprehensive administrative support to the Executives including travel domestic and international travel arrangements, expense reports, and internal and external meeting preparation.
  • Facilitate efficient communication and collaboration between executives, clients, and internal teams.
  • Anticipate and proactively address the needs of supported executives, building strong working relationships based on trust and understanding.
  • Contribute to a collaborative and inclusive team culture, leveraging emotional intelligence to build strong relationships.
  • Thrive in a fast-paced environment, managing multiple priorities and meeting tight deadlines with resilience and adaptability.
  • Demonstrate strong problem-solving abilities to address ambiguous challenges and implement practical solutions.
  • Assist with research and special projects as needed.

Requirements

  • Minimum of 5-7 years of progressive administrative experience in a fast-paced, deadline-driven environment.
  • Proven experience supporting senior executives.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and problem-solving abilities.
  • Proven ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Ability to maintain confidentiality and discretion.
  • Demonstrated ability to work effectively under pressure and meet tight deadlines.
  • Flexibility and adaptability to changing priorities.
  • Bachelor's degree strongly preferred.
