About the position

The Brokerage Operations Coordinator plays a crucial role in supporting the brokerage team by managing day-to-day operational tasks efficiently. This position is essential for ensuring the smooth functioning of daily operations, compliance with regulations, and effective communication within the brokerage team. The coordinator works closely with brokers to facilitate timely transaction completion through meticulous paperwork processing and coordination with other departments within the firm. In this role, the coordinator assists in executing and coordinating daily brokerage operations while supporting the implementation and enhancement of operational procedures. They are responsible for preparing necessary documents, cover letters, and other materials to market renewal business, providing essential administrative support in filing, printing, and archiving documents. The coordinator also administers and updates client information in all required systems, ensuring accuracy and compliance with record-keeping regulations. Customer service is a key component of this position, as the coordinator responds to broker requests and inquiries via telephone, email, chat, or in person. They contribute to the preparation of compliance reports related to brokerage operations and collaborate with broker and finance teams to meet business requirements. Adhering to regulatory requirements and internal policies is critical, as is assisting in the identification and mitigation of operational risks in collaboration with risk management teams. The coordinator also supports the brokerage team with various ad hoc tasks and requests, making them a vital part of the operational framework.

Responsibilities

  • Assists in executing and coordinating day-to-day brokerage operations and supports the implementation and improvement of operational procedures.
  • Coordinates with the broker to prepare documents, cover letters, etc., to market renewal business and provides necessary administrative support in filing, printing, and archiving documents.
  • Administers and updates new and current client information in all required systems accurately.
  • Maintains accurate and organized records of client accounts, transactions, and other relevant documentation and ensures compliance with record-keeping regulations.
  • Performs customer service functions by answering broker requests and questions by telephone, email, chat, or in person.
  • Contributes to the preparation of compliance reports related to brokerage operations and collaborates across broker and finance teams on business requirements.
  • Adheres to regulatory requirements and internal policies and assists in the preparation of compliance reports.
  • Assists in identifying and mitigating operational risks and collaborates with risk management teams to implement controls.
  • Supports the Brokerage team with any ad hoc tasks and requests.

Requirements

  • Minimum of 1 year of experience in the Insurance industry or Underwriting.
  • Bachelor's degree required; Business Administration, Sales, and Risk Management preferred.
  • Any other related discipline or commensurate work experience considered.
  • Minimum requirements for state P&C and/or surplus line licenses.
