The Brokerage Operations Coordinator at Ryan Specialty is a pivotal role designed to provide operational support to the brokerage team, ensuring the smooth execution of daily tasks and compliance with industry regulations. This position is integral to the brokerage's functionality, facilitating effective communication and collaboration among team members. The Coordinator will work closely with brokers to ensure that transactions are completed in a timely manner, which involves meticulous paperwork processing and coordination with various departments within the firm. In this role, the Coordinator will assist in executing and coordinating day-to-day brokerage operations, contributing to the implementation and enhancement of operational procedures. They will be responsible for preparing essential documents and cover letters to market renewal business, as well as providing administrative support in filing, printing, and archiving documents. Maintaining accurate and organized records of client accounts and transactions is crucial, as is ensuring compliance with record-keeping regulations. Customer service is a key component of this position, as the Coordinator will handle broker requests and inquiries through various communication channels, including telephone, email, and in-person interactions. Additionally, the Coordinator will contribute to the preparation of compliance reports related to brokerage operations and collaborate with finance teams to meet business requirements. Adhering to regulatory requirements and internal policies is essential, as is assisting in the identification and mitigation of operational risks. The Coordinator will also support the Brokerage team with any ad hoc tasks and requests, making this a dynamic and multifaceted role.

Responsibilities

  • Assists in executing and coordinating day-to-day brokerage operations and supports the implementation and improvement of operational procedures.
  • Coordinates with the broker to prepare documents, cover letters etc. to market renewal business and provides necessary administrative support in filing, printing, and archiving documents.
  • Administers and updates new and current client information in all required systems accurately.
  • Maintains accurate and organized records of client accounts, transactions, and other relevant documentation and ensures compliance with record-keeping regulations.
  • Performs customer service functions by answering broker requests and questions by telephone, email, chat, or in person.
  • Contributes to the preparation of compliance reports related to brokerage operations and collaborates across broker and finance teams on business requirements.
  • Adheres to regulatory requirements and internal policies and assists in the preparation of compliance reports.
  • Assists in identifying and mitigating operational risks and collaborates with risk management teams to implement controls.
  • Supports the Brokerage team with any ad hoc tasks and requests.

Requirements

  • Minimum of 1 year of experience in the Insurance industry or Underwriting.
  • Bachelor's degree required; Business Administration, Sales, and Risk Management preferred.
