About the position

The Budget Analyst III position at the University of Montana's School of Public and Community Health Sciences is responsible for overseeing personnel and financial management, accounting, forecasting, and reporting activities. This role supports office operations and grant submissions/management while assisting researchers affiliated with the Center for Population Health Research and the Montana Clinical and Translational Research Center. The position requires collaboration with various departments and reports directly to the SPCHS Chair.

Responsibilities

  • Assist with personnel management including the hiring and on/off-boarding procedures.
  • Maintain personnel files and records.
  • Manage SPCHS payroll including the collection and approval of biweekly timesheets.
  • Coordinate with CPHR and CTRC staff to update budgets for faculty and staff (state support and grant funding) and process payroll via GTO.
  • Process stipends, honorariums and extra-compensation requests.
  • Assist SPCHS faculty and staff with travel arrangements.
  • Complete Procard (company credit card) redistributions in a timely manner and maintain files.
  • Submit GrizMart requisitions, invoices, cost transfers, journal vouchers, entertainment forms, and room reservations.
  • Oversee and manage annual FY General Fund budgets, SPABA accounts (Department and PI), Professional Development Funds, and the SPCHS Operations budget.
  • Serve as the SPCHS liaison for UM's Office Sponsored Programs, including pre/post award, awards, subawards, and internal audit.
  • Learn sponsor requirements as it pertains to budget development, award management, and research policies and compliance for a multitude of grant proposals.
  • Forecast and track expenditures for several multi-year restricted grants within the SPCHS.
  • Update financial reports on a monthly basis.

Requirements

  • Knowledge of standard office practices and procedures: business English, spelling, grammar, punctuation and composition.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Outlook, PowerPoint, Word and Excel.
  • Fundamental knowledge of acceptable accounting practices.
  • Working knowledge of strategic budget planning and cost projection methods.
  • Ability to learn and decipher sponsor guidelines for grant proposal development and financial management.
  • Ability to monitor grant activity and reconcile accounts.
  • Strong attention to detail and ability to perform financial work with minimal errors.
  • Ability to work efficiently and independently to achieve goals.
  • Strong planning and time management skills; ability to meet deadlines.
  • Adaptability and capacity to meet challenges and learn new skills.
  • Ability to establish effective working relationships with students, staff, faculty and administration.

Nice-to-haves

  • Degree with an emphasis in Accounting.
  • Experience in pre-award and/or post-award financial grant management.
  • Advanced knowledge and experience with developing and forecasting budgets.
  • Experience in developing and maintaining excel workbooks to track actual costs and expense projections to budget.
  • Payroll experience in a public or private setting.
  • Demonstrated knowledge of budget management practices and procedures.
  • Ability to work independently in a team environment with minimal supervision.
  • Strong interpersonal, communication, organizational, and critical thinking skills.
  • Knowledge of or ability to learn University policies and procedures related to travel, contracted services, and purchasing.
  • Ability to work well with diverse groups of people.
