About the position

The Budget Analyst position at Johns Hopkins University within the Department of Health, Behavior and Society (HBS) is a vital role that supports the financial management of grants and contracts for faculty members. The Budget Analyst will work closely with the Administrator and Grants and Contracts Manager to facilitate pre-award and post-award activities, ensuring that financial operations align with departmental goals and compliance standards. In this role, the Budget Analyst will be responsible for initiating and processing various SAP transactions, including online payment requests and shopping carts. They will also serve as a backup for processing forms related to independent contractors and payment works, as well as handling accounts receivable documents. The analyst will manage travel reimbursements for faculty and staff, prepare payroll and non-payroll cost transfers, and track financial documents from creation to payment, troubleshooting any issues that arise. A key aspect of this position is ensuring that all expenses are allowable and allocable, maintaining thorough documentation for all transactions. The Budget Analyst will also engage in finance and grant administration tasks, which include monthly verification and reconciliation of departmental accounts, matching receipts to statements, and following up on outstanding items. They will assist in monitoring the expenditure of non-sponsored funds, identify budget issues, and provide alternative solutions in coordination with the Business Office. The role requires proficiency in SAP and Excel to prepare financial reports and analyses, including detailed budget summaries for review. The successful candidate will possess strong organizational skills, analytical abilities, and attention to detail, enabling them to manage multiple priorities effectively. Excellent communication skills are essential for collaborating with a diverse range of clients, including faculty, staff, and external contacts. The Budget Analyst will be expected to work independently while prioritizing tasks to meet various deadlines, contributing to the overall financial health of the department.

Responsibilities

  • Initiate SAP transactions within all modules such as online payment requests and shopping carts.
  • Serve as backup to process online forms for independent contractors and Payment Works.
  • Process accounts receivable documents to post checks/payments received from sponsors/donors.
  • Process travel reimbursements for faculty and staff.
  • Prepare payroll (e-forms) and non-payroll cost transfers.
  • Track documents from creation to payment and troubleshoot any problems that may occur.
  • Serve as point of contact for questions regarding transaction policy and procedure.
  • Ensure all expenses are allowable and allocable, maintaining supporting documentation for all transactions.
  • Complete monthly verification and reconciliation of departmental sponsored and non-sponsored accounts.
  • Match receipts/invoices to statements and reconcile service center charges.
  • Perform monthly reconciliations for sponsored accounts, gifts/discretionary, and endowment accounts for assigned faculty.
  • Assist the Administrator in monitoring the expenditure of non-sponsored funds.
  • Identify budget issues, provide alternative solutions, and assist in resolving them by coordinating with the Business Office and HBS affiliates.
  • Initiate Purchase Orders as needed and clear commitments on non-sponsored accounts.
  • Use SAP and Excel to prepare financial reports and analyses as needed.

Requirements

  • Bachelor's Degree in Finance, Accounting, Business or related field.
  • One year of related progressively responsible experience.
  • Experience working with various office and financial software applications such as Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Ability to verify that transactions are allowable, allocable, and compliant with University, Federal, and Private sponsoring agency guidelines.
  • Understanding and demonstrated use of financial reporting and account reconciliation.
  • Strong verbal and written communication skills; ability to communicate effectively with a broad cross-section of clients.

Nice-to-haves

  • Knowledge of SAP and COEUS highly desirable.
  • Familiarity with university and departmental policies and procedures.
