About the position

The Budget and Accounting Analyst at Vanderbilt University plays a crucial role within the Biomedical Research Education and Training (BRET) office, primarily responsible for managing financial processes related to PhD students in the School of Medicine. This position ensures the smooth operation of hiring and payment processes, as well as the management of tuition and health insurance for students. The analyst acts as a Human Capital Manager, coordinating with various financial administrators and supporting the overall financial health of the programs.

Responsibilities

  • Provide human capital management (HCM) to assigned population of School of Medicine students, including onboarding, funding changes, terminations, and special awards.
  • Coordinate with financial administrators to manage student account payments each semester, utilizing PeopleSoft and other systems.
  • Process childcare reimbursement and other costs for eligible graduate students.
  • Review monthly and ad hoc HCM reports for accuracy and address necessary actions.
  • Manage stipend terminations and renewals, as well as Oracle assignment and costing updates.
  • Interact with program managers regarding student registration, leaves, and financial concerns.
  • Attend BRET and School of Medicine meetings, both virtually and in-office.
  • Compile guides and information for HCM reference, keeping records updated with system and policy changes.
  • Monitor shared BRET HCM email accounts and ensure timely responses to inquiries.
  • Collaborate with the Student Accounts Office for late fee waivers and payment reminders.
  • Problem-solve with associated offices regarding student overpayment and nonpayment issues.
  • Support BRET HCM Team and Administrative Officer with faculty, staff, or student system issues as needed.

Requirements

  • A Bachelor's Degree from an accredited institution or equivalent experience is necessary.
  • Strong interpersonal and communication skills (written/verbal) are necessary.
  • Demonstrated ability to use independent judgment and manage confidential information is necessary.
  • Ability to analyze and solve problems efficiently, including planning and coordinating multiple projects is necessary.
  • Evidentiary knowledge of human resources administration principles and practices is strongly preferred.
  • Evidentiary knowledge of academic student policies, processes, and procedures is strongly preferred.
  • Skills in word processing, spreadsheet, and database software are necessary.
  • Knowledge of Vanderbilt University policies and procedures is strongly preferred.
  • Familiarity with Vanderbilt ERP (Oracle Cloud/SkyVU) and other VU systems is preferred.

Nice-to-haves

  • Experience in human resources administration is preferred.
  • Knowledge of academic student policies and procedures is preferred.
