About the position

The Budget/Fiscal Analyst Lead at the Department of Atmospheric and Climate Science is responsible for leading and directing the complex fiscal work of the grants team. This position requires a proactive individual who can manage workflow effectively, handle multiple assignments concurrently, and excel in a collaborative team environment. The successful candidate will report directly to the Administrator and will play a crucial role in ensuring the financial integrity and compliance of the department's operations. In this role, the lead will oversee a team of two Budget/Fiscal Analysts, assigning duties and managing daily operations to ensure efficient workflow. The lead will also be responsible for training team members in financial tools and processes, implementing new financial data systems, and acting as the subject matter expert on grants proposals and financial compliance. The position involves significant interaction with faculty and staff, providing statistical reporting and analysis to support strategic planning efforts. Additionally, the lead will manage fiscal support for various departmental budgets, ensuring compliance with university and state policies. The role also includes payroll responsibilities, where the lead will identify costing allocations, reconcile discrepancies, and coordinate with payroll team members to resolve issues. The position is strictly in-person, requiring a commitment to a Monday through Friday schedule, with potential flexibility for additional hours as needed to meet project deadlines.

Responsibilities

  • Lead the grants team of 2 Budget/Fiscal Analysts, assigning duties and managing daily operations.
  • Train and support team members in financial tools and processes to ensure consistent work quality.
  • Implement new financial data systems and act as the subject matter expert in grants proposal and compliance.
  • Provide backup for various duties including ProCard reconciliation and budget analysis.
  • Act as the central contact for purchase orders and ensure compliance with university policies.
  • Provide statistical reporting and analysis to faculty and staff leadership for strategic planning.
  • Manage fiscal support including budget projections, tracking spending, and ensuring compliance with policies.
  • Attend training to stay updated with changes in university policy and operational changes.
  • Manage records retention policies and procedures for the business office.
  • Identify costing allocations and reconcile discrepancies in payroll responsibilities.

Requirements

  • A Bachelor's Degree in accounting, business administration, or related field.
  • Two years of work experience as a Fiscal Specialist II or Budget/Fiscal Analyst, or equivalent combination of education/experience.
  • Experience leading teams and/or supervising others.
  • Strong analytical, written, and verbal communication skills.
  • Ability to prioritize work efforts and work under pressure.
  • Proficiency with MS Office applications, especially advanced Excel skills.
  • Experience with databases and information systems.

Nice-to-haves

  • At least two years of advanced fiscal experience in a university academic setting.
  • Knowledge of University of Washington fiscal regulations and procedures.
  • Experience with UW or other university/college student funding and awards.
  • Progressively more responsible experience in finance and financial/budget planning.
