About the position

The Building Operations Coordinator at the Illini Union is a pivotal role responsible for the supervision and administrative oversight of all scheduled events and activities within the Illini Union, as well as the day-to-day operations of the building. This position plays a crucial part in ensuring that the Illini Union serves as a welcoming community center for approximately 7,000 students, faculty, staff, and alumni guests daily. The coordinator will interpret and enforce department and campus policies and procedures, ensuring compliance and safety across the facilities, which include the Illini Union, Main Quad, and Anniversary Plaza. The role also involves managing emergency response protocols and acting as a primary liaison for various stakeholders, including student organizations and university departments. In this position, the coordinator will conduct hourly rounds of the facility to monitor compliance with policies, respond to emergencies, and file reports related to operations and events. They will coordinate with Event Services, Multimedia, and departmental managers to ensure effective communication and information sharing. The coordinator will evaluate and implement event management plans, assist in identifying safety and security concerns, and coordinate with first responders as necessary. Additionally, the role includes supporting the Senior Building Operations Coordinator in hiring, training, and managing student employees, as well as providing building tours to prospective clients and customers. The Building Operations Coordinator must be adaptable, as the position may require working outside of regular hours on short notice. The role is essential in fostering an inclusive community that supports the academic mission of the University and promotes the holistic development of all students.

Responsibilities

  • Supervise and provide administrative oversight of Illini Union scheduled events and activities.
  • Conduct hourly rounds of the facility, Main Quad, and Anniversary Plaza to ensure policy compliance and respond to emergencies.
  • Serve as the primary liaison for student organizations, University departments, and other entities using the facility.
  • Coordinate daily with Event Services, Multimedia, and various departmental managers to share important information.
  • Evaluate and implement event management plans in compliance with campus policies and guidelines.
  • Assist in identifying and responding to building safety and security concerns, coordinating with first responders as needed.
  • Support the Multimedia department with A/V equipment setup and supervision of student employees.
  • Assist the Event Services department with event reservations and supervision of student employees as required.
  • Support the Senior Building Operations Coordinator in hiring, training, and managing Building Operations students.
  • Assist in training and developing the professional customer service program and Building Emergency Action Plan (BEAP).
  • Provide building tours to prospective clients and customers, offering guidance on room and setup queries.
  • Liaison with the Illini Union Board to support their mission and events.
  • Complete other duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • Three years of experience in facility management, operations management, or a closely related field.
  • One year of supervisory or administrative experience in building operations, including coordination of building maintenance and work orders.

Benefits

  • Salary commensurate with experience, with a minimum of $53,843 per year.
