About the position

The Building Operations Coordinator is responsible for managing building operations services across all libraries under central administration. This includes transporting library materials, responding to emergencies, and collaborating with colleagues to meet customer needs. The role also involves processing mail and shipments, managing room setups for events, and utilizing various tools and technologies to enhance workflows and collect usage statistics for informed decision-making.

Responsibilities

  • Manage mail, shipping, receiving, and transportation of materials for all libraries under central administration.
  • Retrieve and deliver materials accurately and safely at on- and off-campus locations.
  • Handle and transport special collections materials, which are archival and valuable.
  • Communicate and collaborate with supervisor and colleagues to plan logistics.
  • Use software to process mail and shipments, manage workflows, and maintain records.
  • Maintain a clean and safe working environment, including loading docks and storage areas.
  • Perform building operations, safety, and security functions, including being on call for emergencies.
  • Follow up on facilities requests and work orders at all libraries.
  • Participate in building emergency response training and serve on the library safety committee.
  • Gather and compile space usage data to support data-driven decisions.
  • Set up rooms and spaces for library events and activities, ensuring safety and adherence to layouts.
  • Assemble, disassemble, and move furniture and supplies for workspace improvements and relocations.
  • Collaborate with supervisor and colleagues to align setups with customer needs.

Requirements

  • High school diploma or equivalent certification.
  • 1 year of experience in custodial services, maintenance, transportation, or customer service.
  • A Class E (MO) or Class D (IL) driver's license with a good driving record.

Nice-to-haves

  • Bachelor's degree.
  • 2 years of relevant experience in mail, shipping, or receiving center, customer service, or university operations.
  • Skills in Adobe Acrobat, Microsoft Excel, PowerPoint, Word, and strong communication abilities.
