In this position, the Building Secretary will schedule appointments, provide information to callers, and relieve school officials of clerical work and minor administrative details. Essential duties include reading and routing incoming mail, maintaining accurate records, organizing and managing the filing system, and answering and screening telephone calls. The Building Secretary will also greet visitors, coordinate travel schedules, and perform various secretarial duties as assigned by the supervisor. Responsibilities

  • Schedules appointments and provides information to callers.
  • Reads and routes incoming mail; locates and attaches appropriate files to correspondence to be answered by the supervisor.
  • Assists in maintaining accurate records and organizes the filing system.
  • Answers and screens supervisor's telephone calls and arranges conference calls as necessary.
  • Greets scheduled visitors and directs them to appropriate areas or persons.
  • Arranges and coordinates travel schedules and reservations for the supervisor and/or other department staff.
  • Performs secretarial duties and responsibilities as assigned by the supervisor, including coordinating schedules and appointments.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records or transcribes minutes of meetings.
  • Makes copies of correspondence or other printed materials.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Orders and maintains supplies and arranges for equipment maintenance.
  • Assists with maintaining the department or supervisor's budget.
  • Performs other tasks and assumes other responsibilities as assigned by the supervisor.

Requirements

  • Two to three years of related experience and/or training.
  • Ability to read, comprehend, and interpret instructions, correspondence, and memos.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to access the Internet and collect research on methods and samples of procedures and documents in other districts or organizations.
  • Functional knowledge of or proficiency with Microsoft Office software programs, including Word and Excel.
  • Consistent record of satisfactory work performance.
  • Acceptable criminal and child abuse clearances (Acts 34, 114, and 151).
  • Ability to perform the essential duties with or without reasonable accommodations.
