About the position

WVNET is seeking a detail-oriented Business/Accounts Administrator to manage service agreements, user accounts, and support our business operations. This key role will ensure smooth contract management, efficient account administration, and provide critical support to our Business Office. The Business/Accounts Administrator will be responsible for tracking service agreements, memorandums of understanding (MOUs), and contract renewals, ensuring that all agreements are maintained in a centralized, secure repository. The role requires monitoring renewal dates, initiating timely renewal processes, and distributing agreements to relevant higher education institutions. Additionally, the administrator will send timely reminders for upcoming renewals or expirations and reconcile payments with the terms of agreements. Coordination with management on customer issues and service changes is also a critical aspect of this position, as is the ability to flag discrepancies or unusual patterns for review. In terms of business account administration, the administrator will manage educational institution accounts across diverse service providers, platforms, and subscriptions, including tools such as SignNow and Educause. This includes providing first-line support for account-related issues, processing and requesting new accounts, and maintaining account security and compliance with educational data protection regulations. The role also involves generating and analyzing active user reports and overseeing account management tasks such as billing and renewals in coordination with the Business Operations Manager. Staying updated on all active platforms' features and policies is essential for success in this role. Financial support responsibilities include managing monthly P-Card reconciliations within wvOASIS, reviewing all cardholder transactions and supporting documentation, and reconciling the monthly credit card statement in accordance with WV State Auditor policies and procedures. The administrator will also assist in reviewing and processing bi-weekly timecards and provide general administrative support to the Business Office. This position is crucial for ensuring that WVNET continues to provide high-quality service to K-12 schools, higher educational institutions, libraries, state and county government, and various not-for-profits.

Responsibilities

  • Track service agreements, MOUs, and contracts renewals.
  • Monitor renewal dates and initiate timely renewal processes.

Requirements

  • Associate's Degree in Business Administration, Finance, or related field; or equivalent professional experience in lieu of degree.
  • 1-3 years of experience in business management, finance or account administration.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Experience with ERP systems and payroll software preferred.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to maintain confidentiality of sensitive information.
  • Data entry and basic bookkeeping skills.
  • Time management and multitasking abilities.
