About the position

The Business Administrative Assistant at AGS Exposition Services, Inc. is an entry-level role designed for a dynamic individual with strong multi-tasking and interpersonal skills. This position supports various departments within a fast-growing trade show and events company, focusing on client management and development. The role offers opportunities for growth within the organization and requires effective communication and organizational skills to manage multiple tasks and projects efficiently.

Responsibilities

  • Provide exhibit administrative support by collaborating with the Exhibits Account Executive team on client planning and project management.
  • Communicate and manage client graphic needs with the Creative Services team.
  • Assist with custom exhibit client prospecting and manage design and graphic work orders using AGS Expo software.
  • Lead client communications and conference calls in coordination with the team.
  • Coordinate with facilities to obtain scheduling information, facility forms, and vendor orders.
  • Update management software with relevant event details for on-site execution.
  • Assist the Exhibits Account Executive team in creating client budgets and invoices.
  • Support the Account Management team with various event management tasks.
  • Manage special projects on behalf of the Director of Client Management.
  • Work directly with the Marketing Director on creative elements and external communications.
  • Facilitate communication between the Marketing Manager and design team on special projects.
  • Control marketing inventory and procurement processes.
  • Assist in preparing for Business Development calls and meetings.
  • Contribute to the development and design of AGS Expo proposals and responses to client RFPs.

Requirements

  • Preferred experience in the trade shows or events industry.
  • A minimum of a four-year college bachelor's degree, or a combination of education and work experience may be considered in lieu of a degree.
  • General math skills and proficiency in typing correspondence.
  • Intermediate knowledge of Microsoft Word, Outlook, Publisher, PowerPoint, and Excel.
  • Experience with CRM or similar customer relationship management software is preferred.
  • Ability to learn company-specific software and programs.
