About the position

Winstead PC's Dallas office is seeking a Legal Assistant to join our Business Litigation Practice Group. The successful candidate will provide essential secretarial and administrative support to attorneys within the group. This role involves preparing and editing legal documents and correspondence, ensuring that all materials are saved to the document management system, and proofreading documents to guarantee accuracy and completeness. The Legal Assistant will also be responsible for proofreading and cite checking briefs, docketing case deadlines, and filing documents in both state and federal courts. In addition to document management, the Legal Assistant will maintain document management databases and review, organize, and process client billing in a timely manner. The role requires research and response to requests for information from attorneys and clients, as well as entering attorney time and reviewing timesheets for accuracy. The Legal Assistant will manage and monitor the calendaring of deadlines and key dates, coordinating meetings and scheduling with clients and other contacts. The position also includes coordinating business travel arrangements, developing and organizing electronic and physical files, and maintaining systems that promote organization and efficiency. The Legal Assistant will prepare conflict of interest checks, open new client files, and draft engagement letters and conflict waivers. Additionally, the role involves coordinating with the Audit Committee to prepare audit responses for clients, processing expense reports and reimbursement requests, and assisting assigned attorneys with Continuing Legal Education (CLE) compliance and business development activities. Other duties may be assigned as necessary.

Responsibilities

  • Provide secretarial and administrative support to attorneys.
  • Prepare and edit legal documents and correspondence, saving to the document management system; proofread to ensure accuracy and completeness.
  • Proofreading and cite checking briefs.
  • Docketing case deadlines.

  • Maintain document management databases.
  • Review, organize, and process client billing in a timely manner.

  • Enter attorney time; review and revise timesheets accurately.
  • Manage and monitor calendaring of deadlines and key dates.
  • Calendaring and interaction with clients and other contacts regarding meetings and scheduling.
  • Coordinate business travel arrangements.
  • Develop and organize electronic and physical files; maintain systems to promote organization and efficiency.

Requirements

  • 3+ years of experience as a legal assistant in a law firm is required.
  • Prior litigation experience is required; the ideal candidate will have experience in federal court litigation.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Good working knowledge of document management systems.
  • Superior verbal and written communication skills.
  • Strong attention to detail and excellent organizational skills.
  • Ability to handle and adjust to competing deadlines and priorities.
  • Strong interpersonal and teamwork skills with a high degree of professionalism.
  • A high level of discretion in handling confidential and sensitive information.
  • Ability to work overtime when required.
