About the position

The Business Office Assistant/Receptionist at Sacred Heart Jesuit Center plays a crucial role in supporting the daily operations of a 95-bed facility, which includes both assisted living and infirmary/SNF levels of care. This position involves greeting and assisting residents, visitors, and staff, as well as performing various clerical duties to ensure smooth business activities. The role requires strong organizational and communication skills, as well as proficiency in office software and EMR systems.

Responsibilities

  • Answer, screen, and direct phone calls to appropriate staff members; take messages as required.
  • Greet visitors and guests, directing them to the proper location.
  • Receive and sort incoming mail, packages, and courier deliveries; process outgoing mail.
  • Work with the SHJC Minister to communicate and update the room reservation system.
  • Create welcome packets for incoming residents and guests.
  • Provide general secretarial support to the Business Office Manager and Administrator, including typing, filing, and copying.
  • Prepare letters, memos, forms, and reports according to instructions.
  • Oversee office equipment and order facility supplies; make service calls as needed.
  • Assist the Business Office Manager in reviewing invoices and resolving vendor discrepancies.
  • Perform data entry, report creation, and spreadsheet updates as directed.
  • Utilize Electronic Medical Records and distribute mail.
  • Update the SHJC phone list and photo book; create electronic work orders as needed.

Requirements

  • High School Diploma or equivalent required.
  • 6 months experience in an office setting preferred.
  • Excellent computer skills including Microsoft Office, Excel, and Google Docs.
  • Excellent interpersonal skills and ability to work as a team member.
  • Excellent organizational skills and attention to detail.
  • Outstanding communication (oral and written) skills.
  • Ability to maintain confidentiality of information related to residents and facility operations.
  • Ability to remain calm and professional in stressful situations.

Nice-to-haves

  • Familiarity with the Society of Jesus and the Catholic Church.
  • Experience working with the geriatric population.
  • Familiarity with Electronic Medical Records.
  • Ability to speak and/or understand Spanish.
