About the position

The Business Office Manager at Optalis Healthcare is responsible for overseeing daily activities related to accounts receivable and accounts payable processes within the facility. This role involves managing financial transactions, maintaining communication with patients and vendors, and ensuring compliance with financial policies and procedures. The position requires strong organizational and interpersonal skills, as well as effective use of technology in accounting functions.

Responsibilities

  • Complete daily activities related to accounts receivable and accounts payable processes.
  • Establish and maintain communication with patients, family members, and others responsible for payment for patient care services.
  • Verify the accuracy of the daily census of residents and resident payor types in accounting software.
  • Assist with the completion and submission of Medicaid applications, if applicable.
  • Maintain accurate records for resident trust accounts in accordance with facility policies.
  • Manage facility workflows for invoice approvals and recording of invoices in accounting software.
  • Ensure timely completion of month-end closing procedures and reconciliation processes.
  • Direct involvement in accounts receivable collections process, including pursuit of delinquent accounts.
  • Attend relevant in-service training sessions and facility meetings.
  • Demonstrate knowledge of and respect for the rights, dignity, and individuality of each resident.

Requirements

  • Strong organizational skills and ability to multitask effectively.
  • Strong interpersonal skills for communication with supervisors, staff, vendors, and residents.
  • Ability to manage outcomes in an accountable environment.
  • Proficient in technology, including Microsoft Office and billing/accounting software.
  • Education or experience in accounting functions, including accounts payable and receivable collections.
  • Relevant long-term care or healthcare experience preferred but not required.
  • Freedom from the use of drugs and alcohol in the workplace.
  • Ability to write reports and business correspondence.

Nice-to-haves

  • Experience in healthcare settings is preferred but not mandatory.
