About the position

The Business Office Manager at Charter Senior Living of Orange plays a crucial role in supporting the Executive Director and ensuring the smooth operation of the facility. This position focuses on managing accounting and bookkeeping tasks while fostering positive relationships with residents, staff, and visitors. The role emphasizes compassionate care and enhancing the lives of residents through effective communication and service-oriented interactions.

Responsibilities

  • Answer phones professionally and accept appropriate information or messages.
  • Professionally greet visitors and direct inquiries.
  • Promote and maintain positive relations with residents, their families, staff, and guests.
  • Accept initial inquiry information and provide marketing tours and arrange marketing meals, as appropriate.
  • Participate in the recruiting, interviewing, evaluation, and supervision of receptionist staff.
  • Assist the Executive Director and key department leaders with employee reference checks and background screenings.
  • Assist with tracking annual performance evaluations for staff.
  • Receive and distribute mail to appropriate personnel and residents.
  • Ensure proper business office documents and postings are regularly updated and monitored.
  • Assist with seasonal decorating as needed.
  • Maintain office calendar of move-in/move-outs, staff vacations, events, etc.
  • Assist in emergency procedures to maintain resident safety.
  • Assist in monthly in-service and staff training sessions.
  • Perform additional job duties as set by the Executive Director.

Requirements

  • Assisted living experience.
  • Excellent written and verbal communication skills.
  • Basic clerical skills including typing and filing.
  • Light bookkeeping and computer proficiency.
  • Ability to work in an environment with multiple interruptions.
  • Pleasant nature and willingness to work with the elderly.

Nice-to-haves

  • Experience in healthcare or senior living environments.
  • Leadership experience in managing office staff.
