About the position

The Business Office Manager at Village On the Park Steeplechase is responsible for overseeing all community accounting functions, including accounts payable, accounts receivable, and third-party billing. This role also serves as the primary contact for human resources functions and supervises the front desk/concierge staff, ensuring smooth operations and excellent service to residents and their families.

Responsibilities

  • Oversee all business office functions including accounts payable, accounts receivable, and billing.
  • Manage resident inquiries and provide immediate assistance to residents, families, and visitors.
  • Document, prepare, and distribute resident statements accurately.
  • Handle aging and past-due account collections and analysis, following company policies.
  • Make recommendations to the Executive Director regarding write-offs.
  • Assist in resolving customer financial disputes effectively.
  • Supervise front desk/concierge staff, including hiring and scheduling.
  • Assist hiring managers with the recruiting and hiring process.
  • Ensure timely submission of biweekly payroll processing and act as primary backup for timecard processing.
  • Schedule new hire orientation and lead assigned segments.
  • Maintain on-site employee files in compliance with company and legal requirements.
  • Track certifications and licenses for employees and ensure annual reports are processed.
  • Order office supplies and manage office function requirements within budget.
  • Participate in the Manager on Duty rotation and be a member of the community's emergency response team.

Requirements

  • High school diploma or GED required; associate degree or above in accounting, finance, or human resources preferred.
  • 1 year of prior supervisory experience required.
  • 2-3 years of related experience preferred.
  • Valid state driver's license and clear driving record.
  • Proficient in Microsoft Excel and Word.
  • Experience with resident billing software, Yardi preferred.
  • Excellent communication and customer service skills.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Willingness to undergo a routine background check including drug screen.
