The Business Office Representative Clerk at the Advanced Surgery Center of Clifton plays a crucial role in supporting the facility's operations by performing a variety of business office functions. This position is integral to ensuring that the surgery center runs smoothly and efficiently, contributing to the overall patient experience and operational success. The representative will be responsible for managing medical records, credentialing, admissions/intake, accounts payable, billing, collections, insurance verification, transaction posting, and maintaining clinical logs. These tasks are essential for the seamless operation of the surgery center and require a detail-oriented approach to ensure accuracy and compliance with healthcare regulations. In addition to administrative duties, the representative will schedule surgeries using the surgery template in the computer system, ensuring that all pertinent information is accurately recorded. This includes handling calls from physician offices regarding patient scheduling and addressing any inquiries related to surgeries. The representative must maintain a pleasant demeanor while answering phones and efficiently managing communications with both physician offices and patients. This role also involves pre-registration of patients, ensuring that all necessary authorizations are obtained from the physician's office prior to scheduled surgeries. The representative will complete registration paperwork and utilize the computer system to generate necessary information for surgical and special procedures. Maintaining a clean and orderly surgery scheduling area is also a key responsibility, along with verifying all scheduled cases promptly. The representative will contact patients with financial responsibilities to inform them of the center's payment policies and available payment options. All insurance verifications and patient communications must be meticulously documented in the patient's account to ensure transparency and accuracy in billing processes. This position requires a proactive approach to problem-solving and the ability to handle multiple tasks in a fast-paced environment, making it essential for the representative to be flexible and adaptable to changing needs.

Responsibilities

  • Provide support to the facility by performing specific or various business office functions as assigned.
  • Manage medical records, credentialing, admissions/intake, accounts payable, billing, collections, insurance verification, transaction posting, and clinical logs.
  • Schedule surgeries in the surgery template in the computer, along with pertinent information.
  • Handle calls from physician's offices regarding scheduling patients at the surgery center and surgeries.
  • Answer phones in a pleasant manner and address physician offices and patient needs expeditiously.
  • Take messages and transfer calls to other departments when necessary.
  • Perform pre-registration and ensure authorization is obtained from the physician's office prior to scheduled surgeries.
  • Complete necessary paperwork for registration and generate information for surgical/special procedures using the computer system.
  • Maintain a log for cancelled appointments and perform various clerical duties such as photocopying, mailing surveys, and preparing patient charts.
  • Maintain a clean and orderly surgery scheduling area and verify all scheduled cases as soon as possible.
  • Contact patients with financial responsibilities to inform them of the center's payment policies and offer payment options if necessary.
  • Document all insurance verifications and patient calls clearly in the patient's account.

Requirements

  • High school diploma or equivalent required; Associate degree or equivalent preferred.
  • Minimum three years of experience in healthcare and minimum of one-year experience in surgery scheduling procedures preferred.
  • Ability to work independently as well as function within a team.
  • Basic knowledge of surgery scheduling, receptionist, and registration responsibilities.
  • Ability to handle stress and be flexible with hours to cover shifts.
