About the position

The Business Office Representative Clerk at CSC Wendover Campus plays a crucial role in supporting the facility's operations by performing a variety of business office functions. This position is integral to ensuring that the administrative aspects of patient care run smoothly, allowing healthcare professionals to focus on delivering high-quality care. The representative will engage in tasks that include managing medical records, credentialing, admissions and intake processes, accounts payable, billing, collections, and insurance verification. The role requires a proactive approach to handling patient and physician inquiries, ensuring that all necessary information is accurately processed and communicated. In addition to administrative duties, the representative will be responsible for scheduling surgeries within the computer system, ensuring that all pertinent information is accurately recorded. This includes handling calls from physician offices regarding patient scheduling and addressing any inquiries related to surgical procedures. The representative must maintain a pleasant demeanor while answering phones and efficiently managing communications with both physician offices and patients. This role also involves pre-registration tasks, ensuring that all authorizations are obtained prior to scheduled surgeries, and completing necessary paperwork to facilitate smooth patient registration. The representative will maintain logs for canceled appointments and perform various clerical duties, such as photocopying, mailing surveys, preparing patient charts, and managing faxes. A clean and orderly surgery scheduling area is essential, and the representative will verify all scheduled cases promptly. Additionally, the representative will contact patients with financial responsibilities to inform them of payment policies and options, ensuring that all insurance verifications and patient communications are thoroughly documented in the patient's account.

Responsibilities

  • Provide support to the facility by performing specific or various business office functions as assigned.
  • Schedule surgeries in the surgery template in the computer, along with pertinent information.
  • Handle calls from physician's offices regarding scheduling patients at the surgery center.
  • Answer phones in a pleasant manner and deal with physician offices and patient's needs expeditiously.
  • Perform pre-registration and ensure authorization is obtained from the physician's office prior to surgery.
  • Complete necessary paperwork for registration and generate information for surgical/special procedures using the computer system.
  • Maintain a log for canceled appointments.
  • Perform various clerical duties such as photocopying forms, reports, and patient information.
  • Maintain a clean and orderly surgery scheduling area.
  • Verify all scheduled cases as soon as possible.
  • Contact patients with financial responsibilities and inform them of the center's payment policies and options.
  • Document all insurance verifications and patient calls clearly in the patient's account.

Requirements

  • High school diploma or equivalent required; Associate degree or equivalent preferred.
  • Minimum three years of experience in health care and minimum of one-year experience in surgery scheduling procedures preferred.
  • Ability to work independently as well as function within a team.
  • Basic knowledge of surgery scheduling, receptionist, and registration responsibilities.
  • Ability to handle stress and be flexible with hours.
