About the position

The Business Office Representative Clerk at INOV8 Surgical plays a crucial role in supporting the facility's operations by performing a variety of business office functions. This position is integral to ensuring that the surgical scheduling process runs smoothly and efficiently. The representative will be responsible for managing medical records, credentialing, admissions/intake, accounts payable, billing, collections, insurance verification, transaction posting, and maintaining clinical logs. The role requires a proactive approach to handling various administrative tasks and ensuring that all necessary documentation is completed accurately and in a timely manner. In addition to administrative duties, the representative will be tasked with scheduling surgeries within the computer system, ensuring that all pertinent information is accurately recorded. This includes handling calls from physician offices regarding patient scheduling and addressing any inquiries related to surgeries. The representative must maintain a pleasant demeanor while answering phones and must be adept at managing communications with both physician offices and patients. This includes taking messages and transferring calls to the appropriate departments when necessary. The role also involves pre-registration of patients, ensuring that all necessary authorizations are obtained from the physician's office prior to scheduled surgeries. The representative will complete the required paperwork for registration and utilize the computer system to generate information for surgical or special procedures. Maintaining a log of canceled appointments and performing various clerical duties such as photocopying, mailing surveys, preparing patient charts, and faxing forms are also essential responsibilities. The representative must ensure that the surgery scheduling area remains clean and orderly, and all scheduled cases are verified promptly. Furthermore, the representative will contact patients with financial responsibilities to inform them of the center's payment policies and available payment options, ensuring that all insurance verifications and patient communications are documented clearly in the patient's account.

Responsibilities

  • Provide support to the facility by performing specific or various business office functions as assigned.
  • Schedule surgeries in the surgery template in the computer, along with pertinent information.
  • Handle calls from physician's offices regarding scheduling patients at the surgery center.
  • Answer phones in a pleasant manner and deal with physician offices and patient's needs expeditiously.
  • Perform pre-registration and ensure authorization is obtained from the physician's office prior to surgery scheduled.
  • Complete necessary paperwork for registration and generate information for surgical/special procedures using the computer system.
  • Maintain a log for canceled appointments.
  • Perform various clerical duties such as photocopying forms, reports, patient information, mailing surveys, preparing patient charts, faxing forms, and retrieving faxes as needed.
  • Maintain a clean and orderly surgery scheduling area.
  • Verify all scheduled cases as soon as possible.
  • Contact patients with financial responsibilities and inform them of the center's payment policies and options.
  • Document all insurance verification and patient calls clearly in the patient's account.

Requirements

  • High school diploma or equivalent required; Associate degree or equivalent preferred.
  • Minimum three years of experience in health care and minimum of one-year experience in surgery scheduling procedures preferred.
  • Ability to work independently as well as function within a team.
  • Basic knowledge of surgery scheduling, receptionist, and registration responsibilities.
  • Ability to handle stress and be flexible with hours.
